Privacy Policy
Last updated: October 13, 2026
This Privacy Policy explains how LaunchSite OS, LLC ("LaunchSite OS," "we," "us," "our"), a Kentucky limited liability company, collects, uses, discloses, and safeguards information when you use our health-coaching platform. We treat the privacy and security of health-related information as foundational to the product, not an afterthought.
At a glance
- Adult wellness coaching. LaunchSite OS provides coaching software. It does not offer a BAA or support HIPAA-regulated workflows, diagnosis, treatment, prescribing, or lab ordering.
- Coaching records and private client records have separate controls. For information in a coach's workspace, the Coach is the decision-maker (controller) and we act as their service provider (processor). LaunchSite is the controller for the client's separate personal workspace. Paying for a client's AI does not give a coach access to private files, memory or conversations.
- Client health data stays outside advertising. We never use client health-related information for advertising or to train AI models. Optional Google Ads measurement on selected public marketing and signup pages starts only when you allow it, with ad personalization disabled.
- Google data follows Google's Limited Use rules. Information we receive through Google APIs, such as Gmail, Drive, Calendar, and Meet, is used to provide the features you connect, is never sold or used for advertising, and is not used to train generalized AI models. See Google user data.
- Every vendor is published. The full list of providers, their roles, and what each one can see is at /privacy/subprocessors - currently 37 providers.
- Access is locked down by design - encryption in transit and at rest, database row-level security, and server-side role checks on every request.
- You have rights to access, correct, export, and delete your information, and to withdraw consent for consumer health data. See Your privacy rights.
1. Who we are and our role
LaunchSite OS provides software for adult wellness and fitness coaches ("Coaches"). We do not offer a Business Associate Agreement (BAA). Use in the capacity of, or on behalf of, a HIPAA covered entity, and any workflow requiring a BAA, is prohibited. Actual activities and relationships determine which laws apply; a policy or checkbox cannot establish an exemption. We treat client information as sensitive consumer health information. Our own data-handling responsibilities remain ours, alongside the Coach's responsibilities. See our Consumer Health Data Privacy Policy for the purposes, sharing, and rights associated with that information.
Our role depends on the information involved:
- Private client accounts and personal workspaces - we are the controller for the personal service the client requests, including independent subscriptions, private Zyx files and memory, and personal lab explanations. Clients manage this material in their own account and may contact us directly about their rights. Only selected snapshots explicitly shared by the client become visible to their current coach.
- Coach account, billing, platform-usage, and optional public-site measurement information - we are the controller (we decide how it is used for the purposes described here). Google acts as a separate controller of the measurement information it receives, as explained in Section 11.
- Client information, leads, and messages inside a Coach's workspace - the Coach is the controller of that information and we act as a service provider / processor on the Coach's behalf, handling it only to deliver the service and on the Coach's documented instructions. Clients and leads should direct requests about their own information to their Coach; we help Coaches fulfil them.
The table in Section 2 marks which role applies to each category.
2. Information we collect
The categories below are the complete set the platform handles. Categories marked optional exist only if you or your coach turn the relevant feature on.

Account and profile information
- Name, email address, and password (stored only as a salted hash)
- Coach-created client invitation records: hashed single-use token, linked account and coach, email snapshot, expiry, and access/revocation status. Links expire after 72 hours; invitation records remain until the associated account is deleted. The complete invite message contains the email and newly generated password in transient coach-browser memory for manual copying to the client. Plaintext credentials are not saved in application storage or telemetry. The coach chooses the delivery conversation; LaunchSite does not send an SMS or WhatsApp message. Opening and accepting the invitation does not reset the password. A separate service-only intake requirement retains the client/account/coach association, current intake ID, issue time and completion time to enforce intake before web, native, database and protected file access. It survives pending form deletion, follows the current coaching relationship and is deleted with the associated client or user account. It stores no additional answers, credentials or video viewing data
- Optional profile pictures uploaded by a user or their coach
- Optional illustrated profile avatar choices, including chosen face style, skin tone, hair, facial features, makeup, glasses, sunglasses, headwear, jewelry, clothing and background colors; choices are encoded in the saved avatar image address and can be changed or replaced with a photo
- Coach practice name, brand, logo, and business profile including the postal address used in marketing footers and any separate contracting entity named on client agreements
- Coach-authored Networks portal name, logo, landing banner, welcome copy, and color settings; shared with the coach and their clients separately from individual community artwork
- For clients: phone number, date of birth and gender, entered by the client or their coach, and a preferred language and optional postal address (street, city, state or province, postal code and country) that their coach can record on the client profile
- Team membership and role (coach, team member, client)
- Measurement and workout unit preferences, with unit setup completion status and time
- Team resource visibility, new coach starter-kit selections, organization-managed practice asset settings, and records of resources copied during onboarding
- An unfinished coach invitation draft saved in the inviting coach’s browser: selected resource identifiers, recipient email, intended team role, workflow step, account/team scope, and last edit time. Resource contents and setting values are not stored in this draft
- Coach-saved workspace shortcut names and internal page addresses, private to that coach and retained until unpinned or the account record is deleted
- Coach-saved prospect audience, location scope and qualification preferences used for recurring Lead Scout searches, editable in the bot settings
- Images a coach uploads as a Launch Bot avatar, held in private storage and shown only inside that coach’s own workspace
- Optional public Fullscript storefront address and whether to show it to the coach’s clients; removing the storefront deletes its configuration row, and deleting the coach account cascades to that row. Backups follow the existing account retention policy
Controller: LaunchSite OS · Sources: Directly from you at signup; Profile pictures uploaded by you or your coach; Person-character appearance options selected by you or your authorized coach. Retired generated astronaut selections are cleared from account profiles and cannot be saved again; appearance is not inferred from health records or photos; From the coach or team owner who invited you; Entered by a coach on their client’s profile; Reusable coaching resources and recommended settings selected by an authorized team administrator for new coach onboarding; From a system the coach connected to their own workspace with a Partner API key; Written by a coach about themselves when they choose to appear in the coach directory
Client wellness and health-related records · sensitive
- Check-ins, symptoms, complaints, and wellness system-status grades
- Weight, body composition, blood glucose, temperature, daily water intake, and similar self-reported measures
- Supplement, peptide, nutrition, and training programming
- Client-pinned workout set notes saved as personal reminders for the same exercise and training template across devices
- Client-created food labels, and client-created recipes with their ingredients, serving counts, any notes the client writes and the calories and macros calculated from them, saved for reuse in meal diaries across devices within the coaching workspace
- Coach-uploaded educational resources and course lessons, including any client wellness information included in a video, PDF, office document, text file, native slide text and images, or saved HTML/CSS presentation with a text-only PDF fallback
- Course quiz answers and attempts, assignment text and learner-supplied HTTPS links, assessment revision and passing score, instructor grades and feedback, and completion certificate records. These may contain wellness information if a learner or coach includes it; the platform does not fetch assignment links or treat certificates as accredited qualifications
- Menstrual or reproductive information, where a client chooses to provide it as intake
- Coach-defined intake follow-up rules and answers to visible questions. Changing an answer clears hidden follow-up answers and file references before submission; files already uploaded remain in private storage under the existing retention lifecycle. Coach previews hold temporary local answers and cannot upload or submit
- Coach notes and goals
- Dated protocol titles, dates, private notes, colors, selected plan templates and recorded plan-start outcomes, including coach-authorized reads and edits through a connected AI client
- Memory a coach’s Launch Bots and the Zyx Goal Coach keep for themselves: short notes and Markdown files (an index, the coach’s corrections, practice facts, and per-client observations such as what a review proposed and where each goal stands), every version retained, visible and editable by the coach, never shown to the client
- Measurable goal baselines, targets, dates, constraints and progress assessments derived from check-ins; coaching interventions and their source records
- System Status coach focus notes, review dates and links to assigned tasks or plans; private anatomy view bookmarks with coach-written annotations and camera settings
- Private conversation follow-up notes written by a coach, with a chosen reminder time and the conversation they refer to
- Records a coach keeps for each client week in Runway, a week-by-week view of each client: a goal label, a phase label, a target weight, a travel week mark, a weekly note and a done mark; coach decisions and follow-ups (what changed in the plan, what to test or re-check and when, an optional reminder the coach may add to a review they send, and a coach-defined tag); date windows of plan changes the coach chose to hide; how far ahead the client’s planned weeks run; week plan drafts waiting for the coach to review (a proposed phase, goal, target weight and travel mark for each planned week, with a short rationale); and the coach’s choice of which measurement columns Runway shows for a client
- A written reply a coach pastes into a Runway week and keeps on it (saved by default, the coach can untick it or clear it later), with who saved it and when; a link from a decision to the 1:1 call it was found in
- Scores a coach sets up for a written check-in question (a short label and what 1 and 10 mean) and, for each check-in, a 1 to 10 score for that answer with a short rationale and a quote from the answer of up to 200 characters, proposed by AI and editable by the coach, charted in Runway Metrics
- A check-in Briefing a coach generates in the check-in review (a status line, what is working, what to watch, what to focus on and what changed since earlier check-ins) and a Checklist of proposed items for that review, each with the source it came from and a quote of up to 300 characters, and the coach’s done or dismissed mark on each item
- Checklist items still open from a client’s earlier check-ins, shown again on later reviews until the coach marks them done or dismisses them (after 12 weeks or 6 later check-ins they move to an “Older open items” group), and, stored with a Briefing, AI suggestions that one of those items looks resolved, each with a quote of up to 300 characters from that check-in; the coach decides whether to mark it done
- For a confirmed Runway decision, the metrics the coach chose to watch for its result (up to 4 metric names; none means the defaults for the decision’s category)
Controller: the Coach (we process on their behalf) · Sources: Directly from the client; Entered or uploaded by the coach on the client’s behalf; Uploaded by the coach as Library resources or Networks course lessons; Sent by a system the coach connected with a Partner API key, or read back out by it; Historical daily readings, body measurements, food and workout logs, hydration, assigned habit/supplement completions, and original coach notes imported through a coach-authorized connected AI client (MCP); Eligible client records read or updated by an authorized teammate through in-app AI or that teammate's connected external AI client, under current team and resource permissions
Pre-participation health screening · sensitive · optional
- Answers to the standard PAR-Q+ readiness questions (heart condition, chest pain, dizziness, chronic conditions, prescribed medication, joint or bone problems, and medically supervised activity)
- Whether any answer was "yes", and the date the questions were answered
- The coach’s decision about a flagged screening, the reason they recorded for it, and who made it
Controller: the Coach (we process on their behalf) · Sources: Directly from the client, through the client portal
Lab files and extracted markers · sensitive
- Uploaded lab PDFs and images (for example serum, gut, hormone, or mycotoxin panels)
- Marker names, values, and reference ranges extracted from those files
- Saved chart snapshots containing selected confirmed results, units, report intervals, and source references
- The patient name and testing company printed on the report, and the panel type read from it
Controller: the Coach (we process on their behalf) · Sources: Uploaded by the client or the coach
Progress photos and movement video · sensitive
- Progress and body-composition photos
- Coach-assigned physique photo labels and their client assignments, retained with each submitted check-in
- Lift and movement video submitted for form review
- Pose landmarks derived from that video to draw form feedback
- Non-clinical visual body-fat estimates, uncertainty ranges, comparability notes, and week-over-week observations generated from progress photos when a coach enables photo review for Zyx
- Resized copies of check-in progress photos, with their check-in dates, photo labels and recorded weights, returned to an external AI client the coach connected through MCP when the coach requests them
Controller: the Coach (we process on their behalf) · Sources: Uploaded by the client or the coach
Connected device and wearable metrics · sensitive · optional
- Daily aggregates for steps, sleep duration, resting heart rate, and heart-rate variability, with Health Connect RMSSD kept separate from Apple Health SDNN
- Optional Apple Health weight: latest valid measurement per local day, stored in pounds with its measurement date
- Recovery, strain, readiness, and similar scores produced by the device maker
- Optional Apple Health workout summaries: activity, times, time zone, duration, distance, energy, average and maximum heart rate when available, recording source, and manual-entry status
- Client-selected links to assigned training, hidden-workout choices, and a random app-installation identifier and connection generation used to prevent stale uploads
Controller: the Coach (we process on their behalf) · Sources: Apple Health imports the latest valid weight measurement per local day within the last 90 days, stored in pounds as daily summaries. Connect or Sync requests weight read access; automatic collection never requests new permissions. Empty results can mean no source measurement or unavailable read access, which Apple does not distinguish.; Android Health Connect on the device, after the client confirms the in-app explanation and approves Android read permissions; after this phone is explicitly connected, foreground sync runs on app launch or return (at most every five minutes), on manual sync, or on permission changes; it reads at most the latest 30 local calendar dates, including today, and uploads daily summaries only; Whoop, Oura, Fitbit, or Ultrahuman, after the client authorises the connection
Messages and conversation content
- Optional Library video identifiers in reusable instruction templates, assigned client instruction plans and three-day local unsaved instruction drafts. Videos remain in existing private Library storage; choosing one does not change its audience. Authenticated playback checks the assigned client, current coach, plan visibility and Library publication before issuing a five-minute URL. Hiding a plan or withdrawing access stops new URLs, while existing URLs can work until expiry. Removing a reference does not delete the original file. No playback analytics or new vendor is introduced.
- Optional coach-selected welcome videos uploaded to private Library storage and published by the coach for all clients. Uploading directly in Welcome video settings automatically publishes that new personal Library file for all clients, as explained beside the uploader; it does not change existing file or folder permissions. Saving the welcome selection controls its use in intake forms and emails. Removing the selection keeps the Library file until separately deleted. People with a valid, unsubmitted intake token can request five-minute playback links after the intake privacy step; signed-in clients can replay through authenticated email watch links. Form loads expose only the title until Watch is chosen. Intake and welcome emails contain a watch link, not the video payload. Clearing the setting or withdrawing Library access stops new playback links; issued links can remain usable until expiry. The original file stays in Library until removed under its existing retention.
- Ordered references from community posts and scheduled drafts to existing Shelf listings and Classroom lessons. References retain identifiers and order with the post or draft, not copies of resource content. Display metadata is resolved using each reader's current resource access; an unavailable resource shows no restricted title or playable address. Selecting a card does not assign a template, enroll a member or grant access
- Coach-authored community channel descriptions and composer prompts, independent posting and commenting settings, saved reading order, and community and channel pin flags. Guidance is shown only to eligible members and staff; existing authorized assistant summaries can read it as untrusted data. These settings remain with their channel or post until changed or the related record is removed
- Scheduled community post titles, messages, attachment references, mentions, channels, requested publication times and status. Pending and failed drafts are private to current staff of the owning community. Cancellation retains the private schedule; queue records are removed with the community, owner or author. Publication shares the post with the eligible community audience and sends eligible mention notifications
- Owner-uploaded community logo images, visible to current community members and staff on web and in the apps, or publicly when the owner explicitly lists the network on a connected published website; image metadata is removed during processing
- Owner-uploaded community and course cover images, with image metadata removed, read through authenticated membership or ownership checks, or through an explicit public website listing chosen by the owner
- Public network website listings explicitly enabled by the owner: the network name, description, logo and banner, selected published course titles, descriptions and covers, and selected upcoming event titles and times. Posts, member profiles, lesson content, meeting links and health data are not included. Unlisting or disconnecting stops new reads; artwork links already issued expire within 60 seconds
- Network join requests from existing accounts: account and community identifiers, request status and decision times. The applicant can read their own status; the network owner can review the applicant name and approve or decline. Joining makes the existing community profile visible to other members but does not opt the person into marketing or share private coaching or health records. Requests are removed when the account or community is deleted
- Optional member-authored community bios, up to 280 characters, shared with current members and staff of their joined communities beside their existing profile photo and community role; not taken from private coaching or health profiles
- Unique Networks handles assigned automatically and editable by their account owner. Handles appear in the owner profile and, for coaches who opt into the directory, in coach-only discovery and handle search. Assigning a handle does not opt anyone into discovery or enable client friendships
- Photos, documents and videos deliberately attached to community feed posts, shared only through an eligible current conversation or visible post reference; videos can be downloaded in their original format without direct-message compatibility conversion
- In-app messages between a coach and a client
- Coach-authored scheduled message text, quoted-message references, requested delivery times and delivery status; pending text is private to the owning coach until sent. Cancelled and failed schedules remain with the client record and are removed when the client or coach account is deleted
- Client web attachment outbox: files, captions and conversation references saved on the device after Send, so an interrupted upload can resume; account-scoped local copies are removed after confirmed delivery, removal or sign-out, and expired copies are cleared on the next visit after 24 hours
- Coach-private conversation snooze times and client-reply wake times; follow-up notes are never sent to the client and are removed when the coach completes or cancels the follow-up, or the related account or client record is deleted
- Posts, chat, comments and event responses in the partner community - a shared space for referral partners and the LaunchSite team, where everything written is readable by every other partner in the room
- Private photo, document, and video attachments sent in a direct conversation; an uploaded video original is available to the conversation while a compatible copy is prepared
- Group space conversations between a coach and the clients they added to that space
- When an eligible owner connects an external AI client, selected owned Networks channel settings, posts, comments, member identities, events, coach-owned Shelf summaries and Classroom learning paths may be returned to that client under existing external-sharing preferences. Authorized calls may publish content, create events or create/rename a Network as that coach. The external provider retains returned content under its own terms; revoking the connection cannot recall it. LaunchSite MCP audit records contain identifiers, argument digests and outcomes rather than these returned bodies
- Posts published to a community and their comments, visible to members permitted by the channel audience and membership tier, and to network staff. Selected-member channel lists and tier assignments are saved to enforce access; unrestricted channels are visible to every member of that community
- Per-network notification preferences for mentions, ordinary channel updates, replies and automations, saved until the member account or network is deleted. Coach-selected channel defaults and personal channel overrides are stored with channel and account identifiers and timestamps until changed or the channel or account is deleted. Overrides can follow the current default or turn ordinary delivery on or off; the network-wide ordinary-updates opt-out takes precedence. New feed alerts contain no post text and use existing in-app, browser and native push delivery only for currently eligible readers at publication, including scheduled publication. Later membership or drip access does not replay alerts. Muting delivery does not delete the underlying conversation or its unread state
- Network event titles, descriptions, times, repeat settings and RSVP answers visible within the room. When a coach chooses Zoom or Google Meet, only event titles and start/end times are sent to that provider through the coach-owned connection; provider identifiers and participant join links are retained. No member roster, RSVP answers or event descriptions are sent, and this workflow does not invite attendees or start recording. Deleting an individual event created with a managed meeting first attempts provider cancellation; older separately linked meetings remain provider-managed. Deleting a network or account removes local events but does not cancel provider copies; coaches manage remaining copies with the provider.
- The whole message history between a client and their coach, when a team admin or the coach transfers that client to another coach on the same team - the receiving coach can read it, and each message still shows who wrote it
- Posts, chat, comments and event responses in a community that a coach has invited another coach into - that guest coach reads everything written in the room, including messages from clients who are not theirs, and is shown to everyone in the room as a guest; they cannot see any client’s plans, check-ins, notes, labs or health records
- WhatsApp and Instagram conversations connected to the coach’s paid Pro CRM workspace; these channels are separate from private coaching messages
- For an Instagram professional account a coach connects directly through Meta, the conversations LaunchSite stores because Meta serves only the 20 most recent messages of each one: for every person who messages that account, their Instagram-scoped id, username, name, profile picture address (hosted by Meta, which expires it within days) and whether they follow the account; each message once, with its text, attachment details and Meta-hosted attachment addresses, a link to any story it replies to, reactions, read receipts, edits, timestamps, reply references, click-to-message ad referral details and, for a message sent from LaunchSite, who or which automation sent it; and the connected account’s id, username, name, account type, profile picture address and an encrypted long-lived access token. Media a person sends is fetched from Meta when it is viewed, not copied; media the coach sends is copied to private storage, and Meta fetches it through a link that expires within 15 minutes
- For enabled CRM messaging workflows: provider account, conversation, sender and message identifiers; inbound text and timestamps; the CRM contact and lead link; workflow enrollment, reply waits, handoff tasks and confirmed or uncertain send outcomes
- Website chat-widget conversations with a visitor, coach and optionally the coach-selected AI agent; a random visitor credential is stored in the browser session and only its hash is stored on the server, with access expiring after 30 days
- Google/Outlook mailbox connection identity and address, synchronization cursor and status, matched CRM email sender/recipient details, subject and plain-text body, provider message and thread identifiers, authentication results, reply matching and automation outcomes; raw attachments and unmatched message bodies are discarded by the importer
- Coach-selected mailbox Reply-To routing; imported sender verification is unavailable and synchronized mail does not authorize reply workflows or AI actions; disconnect stops collection and is confirmed separately with the mailbox provider
- Consent state and opt-out history for each email address, plus withdrawals already recorded against a messaging channel we have since retired, which are retained rather than erased

AI prompts, outputs, and workspace memory · sensitive
- Coach-uploaded AI Memories photos: stored Library originals and AI-extracted visible text, tables and factual descriptions indexed as searchable passages, with source section headings retained alongside table rows. A bounded, orientation-normalized copy without image metadata, optionally accompanied by up to two overlapping detail crops within the same total byte limit, is sent to the existing configured AI provider after scope and permission checks. Client-bound folders restrict recall to that client; unbound folders are practice-wide and explicit team copies use team scope. Moving a photo out or removing it from Brain removes searchable passages but retains the Library original. Web Library deletion follows existing source-file cleanup; provider copies and backups have separate retention. Mobile direct-row deletion does not perform the web file and passage cleanup
- Content-free AI confirmation receipts containing a hashed confirmation token, tool name, execution status and timestamps, retained with the coach account to prevent repeated actions
- Private background website and funnel build briefs, asset references, progress, draft results and visual findings; transient rendered desktop and mobile screenshots are sent to the existing AI provider for requested design review
- Optional website-building inputs: selected logo and photo image contents, filenames, placement notes and a main brand color, sent to the existing AI provider when the coach requests a build or revision
- Explicitly approved Atelier project/workspace design decisions, their versions, build-time snapshots, live section previews, queued steering feedback and quality-review evidence
- Named Atelier workspace brand kits with owned media identifiers, reviewed design tokens, supported font styles, writing guidance and selected-kit preferences; generated artwork set metadata and associated media-library assets
- User-requested frozen design previews, normalized pen/box/text feedback, annotated PNG evidence and up to two selected reference images, saved privately with project files and sent to the selected AI engine only on an explicit feedback build; portable spacing, type, theme and motion settings
- Creative studio element identifiers, persistent pinned comments, selected batches, before/after proposals and decisions, screen connections, copied brand tokens and locks, configurable assets and branched project files
- Creative workspace project files (HTML, CSS, JavaScript, text, images, fonts and optional audio), imported public-page or element captures, custom design guidance, up to 40 conversation messages, private unfinished checkpoints and up to 20 saved file versions
- Explicitly selected Atelier pictures and visual references, including image bytes, filenames and whether each image is intended as design content or reference-only guidance. Pending attachments remain in the open browser until explicit project creation or a build saves them with the private project files. A requested hosted build sends their image contents to the existing design provider; saved files and versions retain the references under the existing project retention. Connected local engines receive the selected files through their existing file handoff
- Original image prompts and selected owned reference images sent to OpenAI image generation or editing and the generated images returned to the project; exported HTML, ZIP, PDF, editable PowerPoint, Figma layer JSON and H264 video with an optional supplied audio track
- AI Atelier brand preferences stored in this browser for the selected workspace: selected media identifiers, filenames, roles, placement notes, color and design skill choice
- Optional Juno course learning, including requests made as the learner advances slides after selecting Start interactive learning, sends the current authorized lesson notes, native or HTML slide text, learner questions, quiz answers and up to 12 recent chat turns to the existing configured AI provider. It does not capture screen images or read external iframe pages or videos. Chats and practice answers stay in the active browser component until cleared, the slide changes, or the learner leaves; they are not stored as course grades or coach-visible chat history. Content-free usage records use the existing AI metering retention and charge the course coach’s AI credits
- Juno course presentation briefs, selected Atelier skills and explicitly submitted lesson context or draft HTML/CSS, theme settings and coach-supplied iframe URLs/titles sent to the existing AI provider. Full Networks Atelier builds save editable project files, build messages, curriculum drafts, assets and revision history in the coach-owned Atelier workspace. The coach can explicitly create expiring design review links. Quick slide drafts remain in the open editor until used or discarded. Adding a presentation to Classroom requires review and a separate lesson save, which stores its presentation and private text PDF through the education library
- Optional Atelier concept briefs and native previews, selected design-system references, element/property or phone edit targets, browser-local section locks, durable paid-step checkpoints, measured credit usage and revision proposals with individual accept/reject decisions
- Estimated brand palettes, supported typography styles, spacing, corners and visual guidance derived from selected owned website structure or uploaded visual reference images, reviewed and saved by the coach in browser storage
- Durable native page design checkpoints and restore events used for Atelier history comparisons; comparison previews are rendered from saved documents rather than retained screenshot images
- Content-free AI run stage timings, parent and specialist token totals, admission reservations, provider attempt checkpoints, and confirmation timing used to diagnose latency and reconcile usage
- The workspace content sent to an AI provider to produce a requested output
- Drafts, summaries, and suggestions the AI returns
- Saved AI memories and embeddings derived from workspace content
- A per-coach record of AI usage and cost against the monthly credit limit, including Launch Bot runs, Co-work actions, and live voice session duration and deduplication references
- Operational records of each AI run - which feature ran, which model, how long it took, how many tokens it used, which tools ran, whether retrieval found anything, and whether the coach approved the result. These records contain no prompt, reply, or document text
- OAuth connection, tool-call, change, and usage records for an external AI client the coach connects through MCP
- Optional Atelier computer pairing and heartbeat records, hashed device credentials, selected CLI and model, design briefs, brand media, draft context, review screenshots and returned design objects sent through a paired computer to the coach-selected Codex, Claude or OpenCode API provider account
- Atelier public URL inspection references: source URLs, DOM/CSS, section bounds, observed interaction notes and desktop/tablet/phone screenshots, saved only when the owner creates a project; public sites receive ordinary unauthenticated GET requests
- Atelier selected public JSON/CSV/GitHub endpoints or uploaded data files, manually refreshed snapshots, source labels and fetch timestamps stored in owned project files and versions
- Atelier workflow definitions, declared inputs, revision records, selected repository source references and downloaded framework handoffs
- Atelier review-link hashes, expiry and revocation, reviewer account identifiers and names, comments, target labels, project versions and last-viewed timestamps; the rendered design and its data snapshots are visible to signed-in Pro CRM users holding an active review link
- Selected chart measurements, dates, original units, source references and rendered images returned to an external AI client for a coach-requested MCP chart
- Resized check-in progress photos, with their check-in dates, photo labels and recorded weights, returned to an external AI client for a coach-requested MCP photo read
- Historical chart requests and source revisions in previously saved conversations
- Private Zyx review proposals, coach-edited versions, approval decisions, source evidence, goal assessments, action outcomes and delivery receipts
- Runway decision suggestions: when a coach asks to find decisions in a check-in review, or has turned on automatic suggestions, the coach’s review text, private notes, the Loom transcript text while it is still held for that check-in, and any dictation are sent to the configured AI provider (Azure AI) to propose plan changes and follow-ups, each with a supporting quote of up to 300 characters. Client answers are not sent. When AI is unavailable or switched off, keyword rules inside the app propose items instead and nothing is sent
- Pasted text: a Loom transcript or a written reply the coach pastes into one week of a client’s Runway is sent to the configured AI provider (Azure AI) to propose plan changes and follow-ups for that week and its check-in, each with a supporting quote of up to 300 characters. A pasted Loom transcript is not stored, logged or kept in the AI run record. A pasted reply is saved to the week, visible only to the coaching team, unless the coach unticks “Save this reply to the week”; it is never logged or kept in the AI run record. When AI is unavailable, keyword rules inside the app read it instead and nothing is sent
- 1:1 calls: when a coach asks Runway to find decisions in a call, its notes, and its transcript only when the client allows recordings, are sent to the configured AI provider (Azure AI) to propose plan changes and follow-ups for that week, each with a supporting quote of up to 300 characters. Only a hash of the text read is stored on the call
- Check-in Briefing and Checklist: when a coach generates a Briefing in a check-in review, the client’s answers to that check-in and up to 5 earlier check-ins, their phase, the coach’s and client’s messages in the window since the previous check-in, the Loom transcript held for the review (only when the client allows recordings), the notes of up to 3 1:1 calls in that window, and open Runway follow-ups and recent decisions are sent to the configured AI provider (Azure AI). It returns a coach-only summary and proposed checklist items, each with a quote of up to 300 characters. Changes in tracked metrics are computed inside the app. Nothing is sent to the client. Up to 15 checklist items still open from earlier check-ins (their text and the date of the check-in they came from) are also sent, so the AI does not repeat them; it may suggest that one looks resolved, with a quote of up to 300 characters from this check-in, and that suggestion is stored with the Briefing until the coach marks the item done or the Briefing is generated again
- Runway answer scores: for each written check-in question a coach chose to score, the text of the client’s answer, with the coach’s label and what 1 and 10 mean, is sent to the configured AI provider (Azure AI) to propose a 1 to 10 score with a rationale and a quote from the answer of up to 200 characters. An unchanged answer is not sent again. Where a coach has set up scored questions, this runs automatically when the client submits or edits a check-in (at most 40 automatic runs a day per coach), with the same data, provider and storage; the coach can turn it off with “Score new check-ins automatically” in Runway Metrics
- Runway replies and search in the assistant: when a coach asks their assistant, or an AI client connected through MCP, about a client’s weeks or to search their Runway records, the matching saved replies (up to 500 characters a week) and search snippets from decisions, week notes and labels are included in the request to the AI provider. A client’s weeks also carry each confirmed decision’s “Did it work?” result (weekly weight rates and watched metric readings before and after, computed inside the app)
- Week plan drafts: when a coach asks to draft a client’s planned weeks (in Runway or through their assistant), the client’s weight goal and target date, their latest weekly average weight, the check-in cadence and unit, the protocol block names and dates, the coach’s phase names, the values already set on those weeks and any instructions the coach types are sent to the configured AI provider (Azure AI) to propose a phase, goal and target weight for each planned week. The client’s name, check-in answers, notes and messages are not sent. When AI is unavailable or not permitted, the draft is built inside the app from the goal and protocol blocks and nothing is sent
- Operational records of each Runway suggestion run: what started it, its status, the model, how many items it found and a hash of its inputs. These records contain no review, note, transcript or quote text
- Explicit coach feedback and scoped, conditional coaching instructions used in future Zyx reviews
- Private coach revision requests, saved Zyx acknowledgements and results, immutable draft-version history, and instruction merge/conflict decisions with supporting evidence
- Structured follow-up expectations, due dates, captured goal baselines, comparisons with later measurements, and the coach’s outcome assessments and client-experience notes
- Optional coach ratings of selected Zyx reviews - quality, corrections and actual review minutes - saved in the workspace for the coach’s own evaluation
- A covering team coach’s read-only view of private Zyx reviews, only after the owning coach grants that access; covering coaches cannot approve, edit or send
- Feedback-request display and dismissal times, unanswered-request counts and pause dates used to limit repeated feedback prompts
- A private Cowork Markdown notebook of general working preferences, decisions and unfinished work, extracted from voice transcript batches while memory is enabled; its current text, one Undo copy, update time and learning setting. The notebook does not add raw transcript or audio storage. Clearing removes both notebook copies and disables learning; existing chat and client Brain records have their own retention.
- Launch Bot definitions a coach creates or edits: the bot’s name, avatar choice, instructions, chosen model, selected tools, schedule, task description and notification preferences
- Private coach–bot conversation threads, including the reports an unattended scheduled run posts, proposed actions waiting for the coach’s approval, automatic Growth Huddle CRM import results, the coach’s approve/dismiss decisions, and the Executive Assistant’s practice recommendations with the coach’s accept, dismiss or defer decisions and optional reasons
- Operational records of each scheduled bot run - when it was due, whether it ran, was skipped or failed, and why
- Group conversations between a coach’s Launch Bots - the coach’s messages to a group and each member bot’s replies, with proposed or automatically applied actions attributed to the bot that raised them
- Short notes a Launch Bot keeps for itself from its runs and conversations, visible and deletable by the coach in that bot’s settings
- Loom check-in review drafting creates a private editable review note with the client-facing sections. The note is appended to the coach-only draft and follows that draft and client record retention; it is excluded from client messages and voice-learning samples
- Coach-provided Loom transcripts and other writing samples saved from bot chat into private, versioned voice files to personalize written drafts
- Which client events a Launch Bot runs on, the documents it may read, and the actions a coach allows it to take on its own - plus the record of each change a bot applied under that permission, and each run’s estimated cost against the bot’s monthly budget
- Scientist coaching research briefs derived from a completed verified lab review, the client’s coaching context, permitted knowledge sources and optional related public research. Briefs remain in the coach’s bot conversation. Historical PDFs produced by the former Lab Analyst remain in private storage with short-lived owner access; Scientist no longer generates duplicate analysis PDFs. Each bot also has coach-written personality and working phrases
- MCP write receipts retain the submitted change arguments and a readable action summary; these can include client information, separately from content-free usage and authorization metadata
- For authorized team client work: the acting coach, client, owning coach, shared team, operation, and outcome identifiers used to check access and prevent a retried change from running twice

- Whether the app will use an existing Individual membership, an existing Organization membership, or a new Organization enrollment
- The coach’s registered legal entity name, business address, business phone and business email
- Their Employer Identification Number (EIN), and their D-U-N-S number where they already have one
- The outcome they report from Apple’s D-U-N-S lookup, including whether they requested a number, were asked for more information, or need LaunchSite guidance
- The name and title of the person with authority to sign for the business
- The store listing they write, their brand colours, and the logo and store artwork they upload
- Their answers to the intake’s yes/no permissions, their typed electronic signature, the time it was signed, and which version of the wording they signed
- Business paperwork they choose to attach, such as an LLC or incorporation certificate
- A government photo ID, ONLY where a store or Dun & Bradstreet specifically asks for one - never requested by default, and optional in the form
- The App Store Connect issuer ID, key ID and private .p8 API key used to provision the coach organization’s app; the private key is stored in Azure Key Vault, while the application database keeps only its opaque versioned vault reference
Controller: the Coach (we process on their behalf) · Sources: Entered by the coach themselves through authenticated App Setup in their LaunchSite account; Provided once by a platform administrator after the coach organization grants the named App Store Connect access needed to manage its app
Paired browser extensions · optional
- A pairing code, stored only as a SHA-256 hash and valid for five minutes and one use
- A per-browser access token, stored only as a SHA-256 hash - the readable value exists once, in the browser that paired, and is never recoverable afterwards
- A label the extension reports so you can tell your browsers apart, such as “Chrome on Windows”
- When each browser was paired, when it last called us, and when it was revoked
Controller: LaunchSite OS · Sources: Created by you when you generate a pairing code in Settings; Reported by the extension itself when it pairs
Pages and optional screen images Co-Work uses · sensitive · optional
- Your spoken or typed instruction for the browser session
- A text description of visible page controls, their labels and field values
- When you enable screen sharing: still images of the connected tab’s visible viewport, which may include client health information or imagery
- The page address and the sites allowed for this session
- Session history recording the instruction, step kinds, element references and outcomes
Controller: LaunchSite OS · Sources: The browser tab you connect to Co-Work, only while your session is running; When Co-Work is paired, voice requests to build or edit work in the app use browser control by default; requesting background work uses the workspace tools instead; LaunchSite and at most one additional site you explicitly allow for that session; Screen images require the extension’s screen-sharing choice and browser permission; password, payment, one-time-code and marked private controls, and opaque frames, are masked
Recorded demonstrations of a coach’s own workflow · sensitive · optional
- The kind of each interaction - click, typing, selection, submission, navigation - in the order it happened, with the time it happened
- The identifier a control carries in our own interface and its accessible role; where a control has no such identifier, the visible name on it instead, which for a step that opens a client record is that client’s name
- The page path each step happened on, which for a client page identifies that client’s record and the part of it that was open
- For typing and selection, only whether the field was left empty, given text, or had an option chosen - never the characters entered
- The written instructions and tool list the recording is compiled into and saved on the Launch Bot
Controller: LaunchSite OS · Sources: The coach, demonstrating a workflow in their own LaunchSite workspace while the paired Co-Work extension records it
Records brought across from a coach’s previous platform · sensitive · optional
- Client names, email addresses, phone numbers and status, as the previous platform recorded them
- Programme, workout and exercise names and their contents
- Other coaching fields that platform returned alongside those records in a captured JSON response, after authentication and account-recovery fields are removed
- Visible text from an HTML table the coach explicitly selects and previews, excluding hidden/private content, form controls, button labels and images
- Loaded Kahunas client conversation text and its associated sender and timestamp metadata, explicitly previewed and saved by the coach for AI onboarding, tied to the client profile linked in the conversation header. Alternatively, text the coach highlights on a client profile, including selected names and dates. Private data, hidden message text, editing controls, unrelated content and media are excluded
- During a coach-started Kahunas browse run, the assigned Nutrition preview: plan, day, meal and food names, displayed macros, and portions from read-only quantity controls across loaded day and meal tabs. Editable inputs, hidden controls, private elements, images and unrelated page contents are excluded
- During the same coach-started browse run, assigned supplement plans and their displayed dosage, timing and notes; assigned workout programs and their loaded days, exercises, sets, repetitions and source details; and the selected daily-habit form identity with the completion-question labels from its matching read-only template preview. The habit labels are assigned tasks, not historical completions, ratings or measurements. Client settings are read without changing values or submitting the form; unassigned library templates are not copied onto clients
- Where a coach opens their check-in or progress history on the old platform, whatever that page returned about their clients - which can include weights, measurements and notes about symptoms or wellbeing
- NEVER an image. Capture reads JSON responses, explicitly selected table text, coach-previewed client history text, or scoped assigned-plan previews during a coach-started browse run, so progress photo contents are not captured, transmitted or stored
- A Weekly History file (CSV) the coach uploads on Data Upload: per client and week, goal and phase labels, target weights, travel week marks, weekly notes, decisions and follow-ups, matched to existing clients by email or name
Controller: the Coach (we process on their behalf) · Sources: Read from the coach’s own account on their previous platform, by the LaunchSite Sync browser extension, using the session already open in that browser; A Weekly History file the coach exports from their previous platform or spreadsheet and uploads on Data Upload; the file is read in the coach’s browser and only its rows are sent; Passwords, authentication tokens, cookies, CSRF values and account-recovery fields are removed in the browser before upload and checked again at LaunchSite intake; stored source addresses omit query strings and fragments; LaunchSite never contacts that platform itself
We do not buy personal information from data brokers. Where information reaches us from a device or an outside service - Apple Health, Android Health Connect, a wearable, a connected calendar or inbox, a payment processor - it does so because you authorised that connection, and you can disconnect it.

3. Information we deliberately do not collect
- We do not store full payment card numbers; the payment processor handles them.
- We do not place advertising tags in coach or client workspaces or on coach-owned sites. We do not send names, email addresses, form contents, or client health-related information through our optional public-site measurement tag.
- We do not collect precise geolocation.
- We do not collect raw continuous sensor streams from wearables - only the daily aggregates and scores needed for coaching trends.
4. How we use information, and our legal basis
We use each category only for the purposes listed for it. Where the GDPR or UK GDPR applies to you, the legal basis is stated alongside.
Mobile app update availability
- Offer an optional update to the correct app when its store makes one available
- Remember Later for seven days without interrupting a workout or form
Legal basis: Legitimate interests in maintaining app reliability and offering compatible software updates.
Network membership, learning paths and imports
- Organize shelf templates and allow members to browse authorized folders. At the owning coach request, Juno may read owned folder names, descriptions and listing placement through the existing configured provider; folder writes remain manual
- Create an invited learning account only after email-bound invitation verification, without enrolling the person in coaching, marketing or optional AI; public browsing does not enable public account creation or joining
- Organize existing courses and cohort schedules without changing content permissions
- Answer paid client questions from currently authorized coach material, respecting course locks and live knowledge assignments; optionally transcribe owner-selected uploaded course recordings through the configured AI provider
- Prepare pending invitations or private unpublished course drafts, not automatic messages or publication
- Show actual Network growth and activity; preview launch readiness using synthetic member data
- At the owning coach request, let Juno discuss authorized aggregate reports, course and cohort labels, synthetic checks and membership terms, or propose an explicitly confirmed unpublished plan draft. Those growth tools exclude invitation email lists and secrets, imported source files, cohort member identities and raw payment-provider identifiers
Legal basis: Art. 6(1)(b) requested membership and learning services; coach instructions and required permissions for uploaded material that may contain sensitive data. Imports must not include unnecessary private health records.
Optional AI network setup
- Draft a network identity and original artwork from selected references
- Create a reviewed network and unpublished courses with private text lessons, without enrollment or automatic publication
Legal basis: Requested optional AI processing under the coach instructions and recorded AI permission. Coaches are instructed not to include private member or client records; uploaded free text may nevertheless contain sensitive information.
Platform support messages and engineering review
- Receive and investigate support requests
- Notify platform staff and prepare reviewed code changes
- Answer mapped platform administrators in a private support thread about that case's bounded evidence, plan, recorded repository findings and implementation status, including community Discord cases whose participants have no LaunchSite account
Legal basis: Providing requested support and operating the service. A lawful basis and any applicable sensitive-data condition must be established before enabling external processing of sensitive support correspondence.
Managed app fulfillment status and operator planning
- Track a purchased branded app from intake through provisioning, store review and maintenance
- Identify missing requirements, prepare operator actions and report recorded progress without exposing business documents or provider credentials
Legal basis: Performance of the purchased managed-app service and legitimate interests in coordinating its delivery. Provider account terms and the applicable processing basis require review before enabling the operator integration.
Optional WordPress hosting and Shopify catalog connections
- Provision a separate WordPress environment and report its readiness
- Let coaches copy Shopify product links into their pages and funnels while checkout, orders and customers remain with Shopify
Legal basis: Performance of the coach-requested service and processing on the coach’s instructions.
Coach-controlled hosted WordPress content
- Operate the coach’s requested WordPress website and maintain its infrastructure backups
Legal basis: Processing on the coach’s instructions. The coach determines the lawful basis for hosted website content and any applicable Article 9 condition before collecting health information. Hosting does not change the platform’s wellness-only restrictions.
Optional Fullscript plans, resources and practice connection
- Show confirmed released assignments and their exact directions inside the client app; reconcile provider changes and optionally notify the client of an update
- Open the official Fullscript practitioner editor with a short-lived session grant and the verified matched patient; Fullscript controls supported authoring and retains checkout and fulfillment
- Fetch current assigned attachments through authenticated, bounded downloads without saving attachment URLs or file copies; expose only supported content and explain unavailable resources
- Create an optional logging checklist only after the coach manually enters and confirms its timing. Importing or purchasing never marks a dose taken
- Create a Fullscript patient only after the coach reviews first name, last name and email and explicitly confirms; welcome email is suppressed and patient matching requires a separate confirmation
Legal basis: Coach-directed processing under the applicable service agreement; the coach must establish a lawful basis and an applicable Article 9 condition before using identifiable health information. Developer sandbox access does not establish production permission.
Private client workspace and optional AI
- Provide the same private Zyx workspace to independent subscribers and coach-sponsored clients, with separate coach-controlled nutrition and training self-management permissions and numeric limits; other personal plan types retain their existing Self build permission
- Generate requested personal drafts and reviewed revisions, educational lab explanations, a daily brief, explicitly requested optional weekly reviews, and short notes from recurring checks the client wrote in HEARTBEAT.md
- Let the client personalize presentation, control memory and brief delivery, retrieve authorized knowledge, review plan activation, export saved material, and choose what to share
Legal basis: Requested account services and separately recorded permission for optional AI and calendar processing; applicable sensitive-data conditions require counsel review.
Public research for coaching briefs
- Find and cite relevant published research alongside an existing verified lab review
Legal basis: Processed on the coach’s documented instructions for their requested research feature.
Public reference research for the client companion
- Explain general coaching topics with cited public evidence alongside authorized personal or coach material
Legal basis: Requested optional companion research using public reference material; this category excludes private client search content.
Connected mailbox correspondence
- Let the mailbox owner read, search, compose, save drafts, reply, archive, flag or star, and mark messages read inside CRM Conversations or their own OS Messages Email tab
- On an explicit coach request, send a bounded selected email transcript to the configured AI provider to produce a reviewable reply draft; no automatic saving or sending
- Show matched correspondence on the existing CRM lead timeline for coach review
- Classify selected email threads, or a lead’s recent matched correspondence as part of a lead analysis, with Jev when the coach requests it
- Only for coaches who turn on Ghost Opportunities background analysis (off by default), include an open opportunity’s recent matched correspondence, with mail from unverified senders labelled as unverified, in the bounded lead snapshot Jev classifies after an eligible new event; only email from a verified sender can itself start that analysis, and synchronized mail currently has no sender verification, so it never does
- Honor opt-out requests; synchronized mail does not trigger reply workflows or assigned AI agents without a supported trusted sender-verification source
Legal basis: Processed on the coach’s documented instructions; the coach determines the applicable basis and any additional condition required for sensitive correspondence.
Historical chart tables and saved charts
- Retain existing client records from the retired Charts workspace; its imports, saved snapshots, sharing and access remain unavailable. Current MCP chart rendering uses the original coaching records, not these historical chart stores
Legal basis: Art. 6(1)(b) with Art. 9(2)(a) explicit consent obtained by the Coach where the selected data concerns health
Optional public AI demonstration
- Generate the requested fictional example with the disclosed AI provider
- Limit abuse of the free demonstration
Legal basis: The visitor’s requested demonstration and legitimate interests in preventing abuse
Shared barcode food database and food photos
- Answer a barcode scan from public reference datasets, earlier scans and community additions, and show the client the food to confirm before it is logged
- Check community additions before they are shared, and set aside an addition that several different people report as wrong so the next person can add it correctly
- Read the foods in a meal photo or the numbers on a nutrition label with the disclosed AI provider, and show the result to the client to check and edit; nothing read from a photo is saved until the client confirms it
- Measure lookup speed, how often a product is found, and provider outages
Legal basis: Art. 6(1)(b) performance of the service the client asked for (finding and logging a food), and Art. 6(1)(f) legitimate interests in keeping a shared food database accurate
Privacy requests, permissions, and review records
- Handle privacy rights and eligibility reviews
- Preserve accurate evidence without inventing past permissions
- Record the displayed disclosure version separately for independent accounts and coaching relationships
- Apply documented processing restrictions and track unresolved requests
Legal basis: Applicable legal obligations and legitimate interests in handling rights and security requests; permission evidence records the asserted basis rather than creating one
Account erasure work and completion evidence
- Remove active account data and files reliably
- Track provider work, shared records, backups, versions and retained exceptions separately
- Retry incomplete work and prevent reintroduction after restoration
Legal basis: Applicable deletion obligations and legitimate interests in completing and documenting requested erasure
Signed coach-client agreement evidence
- Give coach and client the same finalized agreement
- Prevent later edits from changing signed evidence
- Record amendment, void and reviewed erasure decisions
Legal basis: Performance of the coaching agreement and applicable recordkeeping or dispute purposes; any health content requires an applicable special-category condition
Coach agreement acceptance records
- Record which platform agreements a coach accepted
- Provide copies and investigate agreement disputes
Legal basis: Art. 6(1)(b) contract; Art. 6(1)(f) legitimate interests in keeping evidence of agreements and resolving disputes.
Coaching template creation and editing attribution
- Show who created and last edited a template to people already authorized to view it
Legal basis: Performance of the requested coaching service and processing on the coach instructions.
Account and profile information
- Create and secure your account
- Show a coach-selected Fullscript storefront link to that coach’s clients. Opening the public link suppresses the web referrer. Optional authorized account linking and supplement history are described separately under Fullscript connection data
- Display an optional illustrated profile identity. Character image addresses contain appearance options without account identifiers and render without authentication; uploaded profile photos remain in private storage
- Authenticate you and enforce role-based access
- Send service, security, and account notices
- Keep a client’s contact details, date of birth, gender, preferred language and postal address on the client profile their coach manages
- Let teammates browse and copy resources that a coach shares with their team; separately copy selected starter-kit resources and settings into a new coach’s account once. Personal copies remain independent after onboarding. Practice branding, support email and practice address stay synchronized only when organization management is enabled for that asset
- Restore an unfinished coach invitation on the same device after navigation or reload
- Display a participant’s name and existing profile picture alongside their score in the Performance League, subject to their League participation setting and the viewer’s access to the same coach roster or community; client-facing views also require the roster coach and community owner to enable client League visibility. Coach standings retain their existing access rules
- Show a coach to other coaches in the coach directory, but only if that coach has switched their listing on - their name, photo, headline, region and specialities, and never their clients, roster size, revenue or plan
Legal basis: Art. 6(1)(b) performance of a contract; Art. 6(1)(f) legitimate interests in securing the service
Client wellness and health-related records
- Operate the coaching workspace and the client portal
- Keep client-created food labels and recipes available for later meal logging; saving through My foods or as a recipe does not publish them to the community food database
- Produce coaching outputs: grades, programs, summaries, reminders, progress tracking
- Provide coach-selected learning materials to authorized viewers and record lesson completion
- Enable coach-to-client communication
- Keep coach-only records of who created or last updated assigned plans and who requested lab analysis
- Support Shared coaching: a client’s primary coach or an authorized team admin selects teammates, their responsibilities and client-specific permissions; the platform synchronizes a group conversation containing the client and selected coaches. Removing a collaborator ends that shared-coaching grant and group access, while independent team permissions and retained records remain in place
- Answer the client’s own questions about their plan and their own records, where their coach has enabled the assistant
- Show a coach Runway, a week-by-week view of each client (plan, goal, phase, target weight and weekly rate of change, travel weeks, weekly averages of the client’s own logged measurements, decisions and follow-ups due), computed on our servers from records that coach can already open. Runway records are visible to the client’s coach, their managing coach, teammates in the owning coach’s team and shared-coaching collaborators, never to the client; weekly averages of daily logs, meals and wearable data are withheld from every coach other than the owning coach and the client’s managing coach
- Let a coach set a phase, goal, target weight or travel mark on a block of planned or past weeks at once, and apply a week plan draft after reviewing and editing it; nothing in a draft reaches the client’s weeks until the coach applies it
- Chart every metric a coach tracks for a client in Runway Metrics, including AI scores of written answers the coach set up, and let the coach search their own Runway records (decisions, week notes, goal and phase labels and saved replies) for the clients they can already open
- Prepare a coach-only Briefing and Checklist for a check-in review. A checklist item becomes a Runway follow-up only when the coach saves it; nothing in a Briefing or Checklist is shown or sent to the client
- Show a coach whether a confirmed Runway decision worked: the client’s weekly weight rate and the watched metrics before the decision and 2 and 4 weeks after it, computed inside the app from the same Runway and Metrics records each time it is opened, with no AI and nothing stored
Legal basis: Art. 6(1)(b) performance of the coaching contract, with Art. 9(2)(a) explicit consent for health data obtained by the Coach as controller
Pre-participation health screening
- Establish whether a client should speak to a doctor before starting physical activity
- Require a coach to review a flagged answer before that client books a class themselves
- Give the business a record of who has been screened and who has not
Legal basis: Art. 6(1)(b) performance of the coaching contract, with Art. 9(2)(a) explicit consent for health data obtained by the Coach as controller
Lab files and extracted markers
- Extract report text, confidence, and table or row locations so a coach can verify marker facts against the uploaded source
- Let platform administrators inspect transient lab OCR, extracted marker facts, and assembled analysis prompts with platform reference retrieval
- Produce lab summaries and overlays for coaching
- Track markers over time
- File an uploaded report against the right client and panel type
Legal basis: Art. 6(1)(b) with Art. 9(2)(a) explicit consent obtained by the Coach
Progress photos and movement video
- Visual progress tracking
- Coach form review and feedback
- When the coach enables it, send bounded current and previous check-in photos to the configured AI provider to draft approximate physique observations and comparisons for private coach review
- When the coach requests them through an AI client they connected through MCP, return resized copies of selected check-in progress photos to that external AI client for the coach’s visual progress review, only where the coach can already see the client’s photos and the client has not withdrawn permission for sharing with an external AI assistant
Legal basis: Art. 6(1)(b) with Art. 9(2)(a) explicit consent obtained by the Coach
Connected device and wearable metrics
- Show source-labeled trends to the client and their coach
- Inform coaching decisions
- Show imported workout history separately from exercise logs and let the client link a recording to assigned training without marking exercises complete
- Answer the owning coach’s questions using visible workout summaries through a read-only AI tool when wearable and AI processing permissions allow it
- Answer the client’s own questions when their coach has given them an AI assistant: their recent readings are included in the request sent to the AI provider so the answer reflects the week they actually had
Legal basis: Art. 6(1)(a) consent, with Art. 9(2)(a) explicit consent for health data
Messages and conversation content
- Deliver the message and show the conversation
- Run Network-owner activated workflows from membership joins, tier changes, lesson or whole-course completions, Going RSVPs and configured inactivity periods measured from LaunchSite-wide last activity. Store workflow definitions, event references, member identifiers, delayed-step checkpoints, enrollment grants and outcomes. Send in-app notifications only, honoring each recipient's Network automation preference; that preference does not cancel course enrollment actions. Enrollment retains existing content audiences and prerequisites. Previewing an audience sends nothing and writes no runs. Workflow definitions and run history have no automatic expiry and are removed when their automation, Network or associated account is deleted; delivered notifications follow existing notification retention. No external messaging provider receives this workflow data
- For an Instagram account connected directly through Meta, keep the conversation history Meta does not (it serves only the 20 most recent messages of a conversation) and apply Meta’s reply rules: a business cannot message a person first, replies are sent within 24 hours of the person’s last message (up to 7 days for a conversation started from a click-to-message ad), and only a coach, never an automation or AI agent, may reply up to 7 days later using Meta’s Human Agent tag
- Identify a community using the logo its owner chooses. Replaced or removed logos stop accepting new reads and their active storage copies are scheduled for deletion; storage recovery controls can retain deleted copies for up to approximately 37 additional days
- Show an owner-approved public network catalog while keeping admission invitation-only; public browsing does not permit joining, access requests or account creation. Existing memberships remain, and invitations are separate from marketing consent and paid course access
- Identify communities and courses using owner-selected covers under the same replacement and storage-recovery policy as logos. Let members edit or clear their own public-to-their-communities bio without changing their private coaching information
- Run coach-configured CRM replies on the chosen connected account, match replies to the same conversation, prevent duplicate processing, and pause automated replies for human handoff or opt-out; when the coach explicitly enables it, an unmatched inbound sender creates a CRM contact and lead
- Classify Pro CRM conversation text with Jev when the coach requests it (a selected conversation, or a lead’s linked messages as part of a lead analysis), and, only for coaches who turn on Ghost Opportunities background analysis (off by default), as part of an open opportunity’s bounded lead snapshot, including its recent website chat and CRM-sent messages, classified after an eligible new event: a new inbound WhatsApp or Instagram message on a linked lead, a new email from a verified sender, or new form, quiz or intake answers; website chat alone never starts a background analysis
- Show a community post and its comments - whoever wrote them - to the other members of that community, including any coach the room’s owner has invited into it
- Prove consent and honour unsubscribe and quiet-hours rules
- Detect and prevent abuse of the messaging channels
Legal basis: Art. 6(1)(b) performance of a contract; Art. 6(1)(c) legal obligation for consent and opt-out records
Voice input, call recordings, transcripts, and synthetic voice
- Help the coach review and improve their own calls
- Produce audio playback of written content
- Turn what the coach said into the text of their request
Legal basis: Art. 6(1)(a) consent of every party to the call, obtained by the Coach; Art. 6(1)(f) legitimate interests in the coach’s own performance review
Prospect, lead, and CRM contact information
- Run the coach’s pipeline
- Attribute which campaign produced a lead
- Research and qualify coach-requested prospects
- Prepare coach-reviewed CRM imports
- Classify permitted CRM evidence and support coach-reviewed workflow conditions
- Estimate defined future outcomes only after recorded history passes validation checks
- Show where saved Jev classifications, coach-requested or from background analysis the coach turned on, place open opportunities beside their recorded stages
- Only for coaches who turn on Ghost Opportunities background analysis (off by default), keep open opportunities’ Jev evidence current by classifying their bounded lead snapshot after new inbound WhatsApp or Instagram messages on linked leads, new emails from verified senders, or new form, quiz or intake answers arrive; never for contacts held for review, excluded from Ghost Opportunities, opted out or awaiting email consent
- Project where open opportunities are likely to be in 30 days and in 90 days, each horizon shown only after its own recorded history passes validation
- Automatically add newly sourced Growth Huddle candidates to the coach’s CRM
- Follow up with the person
Legal basis: Art. 6(1)(f) legitimate interests of the Coach in managing their own business enquiries; Art. 6(1)(a) consent where required for electronic marketing
LaunchSite OS business contacts and activity
- Manage LaunchSite OS business enquiries and follow-up in a shared CRM
- Route call invitations, booking changes and contact details to the authorized team member taking the call; notify the LaunchSite support inbox about new business bookings
- Keep business records available to authorized business owners and separate from their coaching records
Legal basis: Art. 6(1)(f) legitimate interests in managing business enquiries; Art. 6(1)(a) consent where required for electronic marketing
Subscription and payment information
- Take payment and manage subscriptions
- Suspend coach product access for incomplete or past-due subscription payments and restore it after confirmed billing recovery
- When operators enable a dedicated private staff channel, notify them about supported LaunchSite coach-plan and managed-app trials, invoice payments/failures, cancellations, refunds and disputes; no AI processes these billing notifications
- Let coaches close unpaid payment links through Stripe and retain the canceled payment record in their transaction history
- Collect managed coach app setup fees and maintain the related monthly subscription
- Collect the separate CRM website-domain subscription and register, connect, renew through the registrar account, or suspend the purchased domain as the subscription lifecycle requires
- Pay out marketplace sellers
- Pay referral partners the commission they have earned, which means transmitting the PayPal address they gave us to PayPal in order to send that payment
- Let a coach charge for a consultation booked on their own booking page, and show them which bookings are paid
- Let coaches sell one-time payments, learner course access and course-plus-Network bundles through their connected Stripe account; verify payment before granting access and revoke only purchase-derived access after a full refund
- Let coaches sell recurring Network tiers and course access through their connected Stripe account, synchronize payment-backed access, provide billing management after access expires, and report gross collected amounts and recorded partial or full refunds separately by currency. Refunds alone do not cancel recurring billing; cancellation is a separate Stripe billing action
- When a coach selects a saved webhook endpoint, send signed payment-confirmed or payment-refunded events containing only order and offer identifiers, amount, currency and status. These payloads exclude buyer contact information, lesson content and health information; client external-sharing permission and account-erasure checks apply before delivery
- Deliver a reusable course copy to a coach buyer from the fixed submitted snapshot, without transferring learners or publishing the buyer course automatically
- Maintain a coach’s revenue ledger for payments received outside LaunchSite without sending a new charge to a payment processor
- Meet tax and accounting obligations
Legal basis: Art. 6(1)(b) performance of a contract; Art. 6(1)(c) legal obligation for tax and accounting records
Campaign and engagement records
- Show the coach whether a campaign delivered
- Store website images for draft editing and serve them publicly when referenced by published pages
- Let the coach review, download and reuse coordinated page, ad and email drafts without sending messages, buying ads or publishing content during kit creation
- Connect the business locations and marketing accounts the coach selects for their workspace
- Let the coach read business reviews and publish explicitly authorized replies to Google or Facebook
- Send eligible contacts and members a request for honest feedback, when the coach queues one or enables a future-event rule
- Publish the coach’s selected public reviews in a clearly labelled widget until the coach revokes it
- Compare observed email engagement between randomly assigned campaign variants
- Keep a returning browser on its assigned funnel variant and compare observed visitor-to-enquiry conversion between those variants
- Report provider spend alongside mapped CRM leads and recorded collection, keeping currencies separate and identifying incomplete data
- Import enquiries from the selected provider forms, preserve existing contact preferences, prevent duplicate imports and record the owner’s review before email follow-up
- Publish coach-approved social content at the selected time and reconcile provider-confirmed publishing outcomes
- Suppress future sends to people who unsubscribed or complained
- Let a coach see who has already been contacted, so the same member is not approached twice
- Report how many contacted members returned to a class
Legal basis: Art. 6(1)(f) legitimate interests in measuring delivery; Art. 6(1)(c) legal obligation for suppression records
AI prompts, outputs, and workspace memory
- Produce the output that was requested
- Propose Runway decisions and follow-ups from what the coach wrote, said or pasted about a check-in or a week, for the coach to add, edit or dismiss. A proposal is a suggestion only: it changes no plan, is never shown to the client, and becomes a decision only when the coach adds it
- Propose a phase, goal and target weight for a client’s planned weeks as a draft the coach reviews, edits and applies or discards. A draft changes nothing until the coach applies it, and is never shown to the client
- Summarise a check-in for the coach’s review and propose checklist items, and propose a 1 to 10 score for a written answer the coach chose to track. Both are coach-only suggestions: a score is a chart value the coach can overwrite, and a checklist item becomes a follow-up only when the coach saves it
- Render a requested chart from authorized coaching records with bundled Flint and Vega software, without sending chart data to Microsoft or a separate chart service
- Keep AI features grounded in the coach’s own workspace
- Store coach-imported client notes and records, including pasted text and Google Sheets CSV exports, as private Library source files and client-scoped search embeddings for future AI answers. Imported content remains source evidence, not permission to perform actions
- Prepare private goal and plan reviews for a coach to edit, approve or skip before applying changes or sending a reply
- Revise an unsent review from the coach’s saved request, acknowledge saved feedback, refine scoped instructions, and let the coach compare follow-up observations without treating approval as proof of benefit
- Include applicable coach instructions directly in review context and use relevant feedback text to form a temporary knowledge-search query; feedback instructions are not stored as vectors or used to retrain a model
- Keep AI features grounded in records the acting coach is authorized to access, including eligible teammate-owned clients
- Answer a client’s own questions from the material their coach published, and from the parts of their own record they can already see in their portal
- Reconcile stored memories when newer information contradicts them
- Meter usage
- Monitor whether AI features are working correctly - speed, failures, and whether answers were grounded in the coach’s own material
- Let a coach use their own AI client to read eligible workspace data and make changes to it. A change takes effect as soon as the coach allows the action in that AI client - LaunchSite does not ask for a separate confirmation, and records every change in the coach’s activity history
- Apply current team permissions when a coach uses AI on a teammate's client. Client ownership stays with the owning coach; the connection, action attribution, and usage remain tied to the acting coach. Private message threads, protected files, and Brain sharing retain their separate access rules
- Read posts and comments written in a community to flag ones a coach may need to look at
Legal basis: Art. 6(1)(b) performance of a contract, inheriting the Art. 9 condition of the underlying record
Community moderation reports, flags and personal blocks
- Show a community’s coaches what may need their attention, so a room stays usable
- Let a coach see repeated incidents involving one member as a pattern rather than in isolation
- Record what a coach decided about a report
- Hide blocked members’ community content for the blocker and suppress notifications between them; the block list is only returned to the member who saved it
Legal basis: Art. 6(1)(f) legitimate interests in keeping a shared space safe, inheriting the Art. 9 condition of the underlying post
Participation and activity records in a group space
- Show a member where to start in a space
- Let a coach see who has disengaged, by name, so they can reach out
- Rank a space’s leaderboard among the members of that space only
- Release a coach’s material at the pace they set, counted from when each member joined
Legal basis: Art. 6(1)(b) performance of the coaching contract, and Art. 6(1)(f) legitimate interests in a group space that works
Public AI demo requests
- Build the day of meals that was asked for and show it back
- Limit each network to three free builds a day, so the demo cannot be used to run up AI costs
Legal basis: Art. 6(1)(f) legitimate interests in demonstrating the product and protecting it from abuse, with Art. 9(2)(e) where a visitor chooses to make health details about themselves public by typing them into a demo on an open web page
Usage, device, and diagnostic data
- Keep the service secure and reliable
- Diagnose faults
- Deliver notifications you asked for
- Investigate abuse
Legal basis: Art. 6(1)(f) legitimate interests in the security, integrity, and reliability of the service
Optional public-site advertising measurement
- Remember and honour your measurement choice
- Understand whether our advertisements lead to visits, coach signups, and paid subscriptions
- Avoid counting the same confirmed conversion more than once
Legal basis: Art. 6(1)(a) consent for optional measurement; Art. 6(1)(f) legitimate interests in remembering and honouring your privacy choice
Workforce and employment records (LaunchPoint ERP)
- Operate the employer’s rota, timesheet, and labor-cost reporting
- Show the organization’s structure - who works where and who reports to whom
- Authenticate an employee and decide which parts of the organization they may read
- Keep an audit record of changes to employment, access, and approved hours
Legal basis: Art. 6(1)(b) performance of the employment relationship and Art. 6(1)(f) legitimate interests of the employer in operating and staffing the business, in each case with the employer as controller
Building access records (LaunchPoint ERP)
- Decide whether a member or employee may enter the building at that moment
- Answer who was in the building after an incident, an injury, or a theft
- Show the account owner which entries happened while nobody was on shift
Legal basis: Art. 6(1)(b) performance of the membership or employment relationship for entry itself, and Art. 6(1)(f) legitimate interests of the operator in the security of their premises and the safety of the people in them, with the operator as controller
Children and collection records (LaunchPoint ERP)
- Make sure a child is only released to an adult their guardian authorised
- Keep the room within its staff-to-child supervision ratio
- Answer who had a child, and when, after an incident or a dispute
Legal basis: Art. 6(1)(f) legitimate interests of the operator and, decisively, of the child in being released only to an authorised adult - an interest that a child cannot assert for themselves, which is why the guardian supplies the record and the operator is controller. Art. 6(1)(c) legal obligation where local childcare regulation requires an attendance and collection register. No Art. 9 processing: no health data about a child is collected.
Bank statement records (LaunchPoint ERP)
- Check the business’s own books against its bank statement
- Show what moved on the bank with no record behind it, and what was recorded and never settled
- Produce a general journal and trial balance the account owner can give to their accountant
Legal basis: Art. 6(1)(f) legitimate interests of the business in keeping accurate books, and Art. 6(1)(c) legal obligation where accounting and tax law requires records to be reconciled and retained, with the account owner as controller
Business identity for a white-label app listing
- Prepare the business details for Apple’s official D-U-N-S lookup, track the outcome the coach reports, and guide the coach when they ask for help
- Enrol the business in the Apple Developer Program and publish their branded app under their own account, as Apple’s guideline 4.2.6 requires
- Publish their Google Play listing and build their app with their own branding
- Create and reconcile the Expo project, Apple bundle identifier, app capabilities, build credentials and store connection through supported provider APIs
Legal basis: Art. 6(1)(b) performance of the contract to build and publish the coach’s branded app, since Apple and Google will not issue a developer account or accept a listing without this information. The electronic signature and the permissions recorded alongside it are also relied on under Art. 6(1)(f) legitimate interests in being able to evidence what the business authorised
Paired browser extensions
- Let an extension you installed reach your own LaunchSite account without holding your password
- Show you every browser that can currently reach your account, so you can revoke one you do not recognise
- Tell you when each browser was last active, so the revoke list means something
Legal basis: Art. 6(1)(b) performance of a contract, since the pairing is what makes an extension you chose to install able to work with your account; Art. 6(1)(f) legitimate interests in securing accounts, for the activity and revocation record
Pages and optional screen images Co-Work uses
- Understand the visible page and choose the next step toward your request
- Describe proposed browser actions and their observed outcomes
- Show you the session’s progress and outcome
Legal basis: Art. 6(1)(b) performance of a contract; where visible content includes health data, processed on the coach’s instructions under the applicable health-data consent basis
Recorded demonstrations of a coach’s own workflow
- Turn the demonstration into a Launch Bot’s written instructions and tool list, so the bot can do the same job later on a schedule, on a server, with no browser involved
- Show the coach the steps that were recorded, so they can correct or discard them before the bot is changed
Legal basis: Art. 6(1)(b) performance of a contract, since the recording is how the coach configures a bot they asked for; where a step names a client or their record, processed on the coach’s instructions under the applicable health-data consent basis
Records brought across from a coach’s previous platform
- Show the coach what was found so they can decide what to import
- Create the clients, contacts and programmes the coach chooses to bring across
- Extract client-linked plans and health history into a coach-reviewed onboarding draft using the configured AI provider
- Use captured client conversations as historical context in AI onboarding and its source preview. Capturing a transcript does not send messages or create a live conversation
- Let an import that mapped a field wrongly be explained and corrected afterwards
- Bring a coach’s past weeks into Runway, show a preview before anything is written, and let the coach undo a Weekly History import
Legal basis: Art. 6(1)(b) performance of the contract with the coach, who is moving their own business records into the service; Art. 6(1)(f) legitimate interests of the coach and their clients in continuity of coaching when a coach changes platform. Where a capture includes health-related information about a client, the coach relies on Art. 9(2)(a) explicit consent obtained by them as the controller of that record, on the same basis as the wellness records they already hold in LaunchSite
Across all categories we also use information to secure the platform, prevent and investigate abuse, meet our legal obligations, and enforce our terms.
We do not sell or rent personal information for money. Our optional public-site measurement is configured with ad personalization disabled; it is used to measure advertising results, not to build remarketing audiences. We do not use client health-related information for advertising, targeted advertising, or profiling that produces legal or similarly significant effects. We do not use client data to train general-purpose or shared AI models. How an AI provider may use the data it receives, including for training, depends on that provider's terms and our account settings with it; the providers are listed at /privacy/subprocessors, and a published vendor commitment is not proof of a particular account's agreement. The CRM does fit small statistical estimates for each Coach from that Coach's own lead and opportunity records, which are never pooled across Coaches: defined outcome estimates and, only after the Coach turns on projections, 30-day and 90-day pipeline projections.
5. AI-assisted features
Features such as draft program suggestions, lab-result summaries, message drafts, transcription, and the coach copilot send relevant workspace information to the AI providers listed at /privacy/subprocessors to produce the requested output. Provider processing and retention depend on the applicable service terms and account settings, including security and abuse monitoring. A public vendor reference is not proof of a particular account's agreement or zero-retention setting. How AI features use information from Google is described in Section 15.
AI features operate only on your own workspace data. Output is assistive and informational - a drafting aid for the Coach, not medical advice - and the Coach reviews and remains responsible for any decision. Client-authored content is treated as untrusted input when it enters a prompt, and actions that change data run only from an explicit, authorised instruction.
A Coach may separately connect an external AI client through the Model Context Protocol (MCP). That client receives only data the Coach's current role and permissions allow, and each change requires a one-time approval in LaunchSite. The external AI provider is selected by the Coach, not engaged by LaunchSite as our subprocessor. Its own privacy, retention, and model-training terms apply after data is returned to it. Revoking the connection stops future access but does not remove copies the external provider already holds.
6. How we protect information
- Encryption of data in transit (HTTPS/TLS) and at rest at the database and storage layers.
- Database row-level security so a Coach can reach only their own clients, and a client only their own records.
- Server-side enforcement of coach and client roles on every request; authorisation roles are never taken from user-editable data.
- Health files, lab uploads, and progress photos are held in private storage and served only through authenticated, short-lived access - never a public or long-lived URL.
- Hardened HTTP security headers (HSTS, anti-clickjacking, MIME protection).
- Least-privilege, scoped access for automated and AI tooling, and audit records of privileged actions.
No method of transmission or storage is perfectly secure, but we work to protect your information using safeguards appropriate to its sensitivity.
7. Service providers and other recipients
We publish 37 third-party providers, with each provider's purpose, processing region, activation, and categories of data at /privacy/subprocessors. Providers processing coaching records on our behalf may not use client data for their own purposes or to train AI models. The register separately identifies Google Ads as an independent controller for optional public-site measurement; it receives no client records. Connected services and visitor-consented measurement are marked separately.
We maintain that page as the current register rather than a list "available on request." If you are a Coach and want notice of changes to it, email privacy@launchsite-os.com.
8. Sharing and disclosure
We disclose information only:
- to the Coach who owns the client or lead relationship, and to team members that Coach has authorised;
- to subprocessors under contract, as described above;
- to Google Ads for optional public-site measurement after you allow it, limited to the information described in Section 11 and the measurement category in Section 2;
- to a third-party service you connected, to the extent needed to provide that feature - the outbound channels below set out what each one can send;
- to operator-enabled support services to notify our team, classify a request or investigate a reported issue. The support channel below and the provider register describe what is transferred and the applicable account terms;
- to comply with law or valid legal process - we assess each request, require valid process, and will notify the affected user unless legally prohibited;
- to protect the rights, safety, and security of users and the platform, or to investigate abuse; or
- in connection with a merger, acquisition, or sale of assets, in which case we will require the recipient to honour this policy and will notify you of any material change.
We will not otherwise disclose client health-related information without authorisation.
Connected systems and platform support
A Coach can connect their own software - an automation platform, a CRM, or something they run themselves - and have LaunchSite OS send it a message when something happens in their workspace. These connections are off unless a Coach sets one up, the Coach chooses the receiving system and supplies its address, and the Coach can change or remove it at any time. Because we do not choose these destinations, they are not in the subprocessor list; each one is set out here instead.
Platform support is a separate, operator-controlled channel. Platform administrators can enable the support services described below; those providers are also named in our provider register. Sending a support request does not connect a service to your coaching workspace.
Internal platform billing alerts
Destination: A dedicated private Discord text channel selected by LaunchSite operators for billing staff.
How it is turned on: Off by default. An operator configures the channel, a separate signed Stripe notification destination and an explicit live/test mode. Routine alerts are silent; failed payments and disputes can mention the configured staff role.
What can be sent:
- Opaque account/purchase and payment-processor receipt identifiers, allowlisted coach-plan or managed-app labels, event status and times, amounts/currency and constructed Stripe Dashboard links
- Temporary delivery recovery markers and message receipts
What is never sent through it:
- Names, emails, billing addresses, card data, raw decline text, customer-authored descriptions or metadata, health content and full Stripe event payloads
- Connect account events, marketplace/coach-to-client payments, unknown product scopes and credentials
Platform support notifications and engineering worker
Destination: Operator-configured Discord channels, configured Azure vision inspection, request splitting and optional example-based classification, Jev classification, and dedicated home-server Codex and Claude Code sessions coordinated through OpenRig. Validated candidate changes are published as draft pull requests in the configured GitHub repository. Administrator-approved PR commits can merge into development, followed by deployment verification.
How it is turned on: Off by default. Platform administrators independently enable capture, Discord delivery, content transfer, classification, investigations and builds. Administrators may explicitly import existing inbox and support-chat history into the same private Discord conversations. Separately enabled community-channel scans read selected Discord messages and send actionable reports to private support threads, never replies to the source channel. Community cases default to plan-only human review; trusted server policy can authorize the existing automatic bug-build flow for new bug cases. Message text and authors cannot grant approvals or upgrade policy. Plan it on a private triage card can split a mixed burst into one plan-only case per request; the split grants no approval. Classification uses Jev unless a server setting selects the Azure example-based classifier, which falls back to Jev on any failure and keeps the same admission cut-off. That setting also covers the community channel scan, where Jev then only groups messages with earlier cases. Feature builds require recorded plan and implementation approvals for the specific plan revision; one administrator Approve & build tap records both. Grounded app bug fixes build automatically when enabled. Every merge to development requires human approval of the exact PR commit; production release remains separate.
What can be sent:
- Opaque source and receipt identifiers for notifications
- Administrator alerts about the engineering worker's health and stopped builds or merges, with fixed text, codes, counts, times and a work item reference only
- When content processing is enabled, bounded support text, sender display names for app-origin support, original message times, page paths, engineering plans and approval status
- Community member text with local source/author identifiers, bounded model-derived screenshot observations or unread-attachment indicators and exact Discord jump links; Jev receives request-local aliases instead of those identifiers
- When an administrator chooses Plan it on a private triage card, that card's bounded message text, screenshot flags and stored screenshot observations go to the configured Azure chat model under request-local aliases, which returns request titles shown only on the private card
- When a server setting selects the example-based support classifier, each classification sends the new support text, up to 8 earlier messages, stored screenshot observations and fictional labelled examples to the configured Azure chat model without Discord message links; only the label, confidence and content-free usage are kept
- Screenshots (PNG, JPEG, WebP or GIF still images, at most 8 per job) attached to the Discord source messages of a community case, downloaded by the home worker for that case's Claude Code and Codex investigation, review and implementation sessions
- Candidate source-code changes and opaque work-item and plan-hash references in GitHub; community-origin PR/commit metadata uses generic copy and trusted source links
What is never sent through it:
- Raw attachment bytes and signed attachment links in Discord notifications, Jev requests, private support threads and stored records; non-image attachments; supported screenshot bytes go transiently to the configured Azure vision provider and, for community cases, to the home worker's engineering sessions described above. A person may still paste a sensitive link into message text
- Production deployment credentials and Supabase service credentials on the home worker
Content the Coach controls: Support text is authored by people and is not guaranteed to be free of personal or health information. Generated code may also reproduce such information; a model instruction is not a data-loss prevention guarantee.
Managed app fulfillment tracking
Destination: An operator-configured collector on LaunchSite-controlled infrastructure, with Codex case planning and Claude Code advice through self-hosted OpenRig.
How it is turned on: Disabled without its dedicated read-only bearer credential. The operator enables polling and case tracking. Paid purchases can be tracked before intake completion; readiness gates implementation planning. This feed cannot dispatch a provider action, deploy, submit to a store or send a customer message.
What can be sent:
- Opaque purchase, intake and provisioning references, validated app keys, payment eligibility and finite requirement and status codes
- Saved-reference readiness booleans, recorded status timestamps, deterministic change receipts and trusted administrator, source and workflow links
What is never sent through it:
- Business documents, signatures, emails, artwork bytes, checkout links and raw provider errors
- Provider credentials, secret references, support-worker credentials and database credentials
Client-selected assistant and lab sharing
Destination: The current owning coach, selected by the client through an accepted coaching relationship.
How it is turned on: The authenticated client explicitly shares a selected conversation message or personal lab result. Sponsorship does not activate sharing.
What can be sent:
- A snapshot of the selected message or the selected report name, extracted values, verification revision and educational explanation
What is never sent through it:
- Other conversations, personal memory, calendar details and future changes to the selected item
- The private uploaded source file
Social publishing to connected business accounts
Destination: The Facebook Pages and Instagram professional accounts the coach connects and selects for a post. Published posts are visible under those accounts at the provider.
How it is turned on: A coach saves a draft, then explicitly releases it for immediate or scheduled publication to selected enabled accounts. Connecting an account or saving a draft does not release a post.
What can be sent:
- The caption, optional Facebook link, selected marketing images or uploaded Instagram Reel video
- The selected business account identifiers and instructions to prepare and publish the post
- An unguessable public media address so Meta can retrieve the released copy of an image or video
What is never sent through it:
- Private coaching files are not selectable through the social media picker
Content the Coach controls: The coach writes the caption and chooses or uploads the media. We do not inspect their content for personal or health information. The coach controls what becomes public; published copies remain subject to the provider’s controls.
Public replies to business reviews
Destination: The Google Business Profile location or Facebook Page the coach connects and selects. The provider displays the reply publicly against a review or recommendation.
How it is turned on: A coach writes the reply and explicitly chooses to publish it. Imported reviews do not cause an automatic public reply.
What can be sent:
- The coach’s reply text and the provider identifiers for the business, review and existing reply where applicable
What is never sent through it:
- Coaching records are not automatically attached to review replies
Content the Coach controls: Reply text is written by the coach and is not filtered for personal or health information. Coaches choose what they disclose publicly.
Email requests for business reviews
Destination: A lead or member selected by the coach, or a qualifying member after the coach activates a first-attendance or first-payment rule. Delivery uses the coach’s configured email service.
How it is turned on: A coach queues an individual request or explicitly enables a rule for future qualifying events. The delivery worker checks marketing eligibility, opt-out preferences, quiet hours and the request cooldown before sending.
What can be sent:
- Recipient name and email address
- The coach’s review-request subject and message, business review link, business postal address and unsubscribe link
What is never sent through it:
- Attendance details, payment amounts and coaching records are not attached to the request email
Content the Coach controls: The coach controls the email wording. It is not inspected for personal or health information.
Webhook Endpoints (event delivery to a system the coach connected)
Destination: An HTTPS URL the coach enters. The coach selects the receiving system - for example an automation platform such as n8n, Make, Zapier, or GoHighLevel, or software they run themselves - and can change or remove it at any time.
How it is turned on: Off unless a coach creates an endpoint. Each endpoint is created with an explicit choice of what it may carry, and each message is signed with a secret unique to that endpoint so the receiving system can verify it came from us.
What can be sent:
- The event that occurred (for example, a check-in was submitted, or a compliance figure fell below the threshold the coach set) and when it occurred
- The client identifier the event concerns, and the identifier and threshold of the automation that sent it
- A compliance percentage, where the event is about compliance
- The programme phase the client is in or has moved to
- How many days or check-ins have been missed, the date of the last check-in or daily log, and the client’s check-in schedule
- The identifier of the check-in or message the event refers to - the identifier only, never its contents
- The client name, email address, and phone number - only where the coach set that endpoint to include contact details, which exists because most automation platforms match their own contact records on email or phone
- For an explicitly connected website payment offer: verified payment-confirmed or full-refund status, order and offer identifiers, amount and currency. This fixed payment payload never contains buyer contact details, course content or health information, regardless of endpoint contact settings
What is never sent through it:
- Check-in answers and any free text a client wrote
- Wellness system-status grades
- Lab results and uploaded documents
- Progress photographs and other imagery
- Message content
Workflow Webhook (lead delivery from a CRM workflow step)
Destination: One of the coach’s own registered Webhook Endpoints, named by a step inside one of their CRM workflows. The coach registers the destination, and can change, disable or delete it at any time.
How it is turned on: Off unless a coach registers a Webhook Endpoint and adds a webhook step to a workflow that names it.
What can be sent:
- That a lead reached a given point in the coach’s workflow, which workflow it was, and when
- The lead identifier, its pipeline stage, where it came from, its deal value, and when it was created
- Marketing attribution recorded with the lead (UTM campaign, source, and medium)
- The labels the coach has applied to that lead
- Every custom field the coach has defined on their leads, with its values
- The lead name, email address, and phone number - only where the coach set that endpoint to carry contact details
What is never sent through it:
- Client coaching records - check-ins, wellness grades, labs and imagery belong to a client rather than a lead, and no lead webhook can reach them
- The content of messages sent to or from the lead
Content the Coach controls: Custom lead fields are created and named by the coach, and we do not restrict what goes in them. A coach who records health-related notes in a custom field will send those notes to their chosen destination. Coaches choose what to collect there and where it goes.
9. Data retention
We keep information only as long as it is needed for the purpose it was collected for:
- Mobile app update availability - Installed version comparison and Google Play eligibility stay on the device. The server receives the authenticated app identity, platform and App Store country, but does not store a per-client install history. Public Apple lookup facts are cached by app and country until replaced or the registered app is deleted. A local dismissal remains until replaced or app storage is cleared; it suppresses reminders for seven days. Apple and Google retain store-service information under their own terms.
- Network membership, learning paths and imports - Shelf folders and listing placement have no automatic expiry. Unfiling a listing clears its placement without deleting the folder or description. Folders are removed when their owning account is deleted; removing a member or network does not delete coach-wide folders. Existing backup and assistant-conversation retention applies to copies already stored or sent during requested Juno reads. Searchable lesson transcripts, chunks and derived semantic embeddings remain with the lesson until replaced, disabled or deleted. Uploaded course recordings remain under existing course-file retention. Automatic transcription stages private derived audio with the source, including across retries; source replacement, disabling or deletion queues exact derived-file erasure after 15 minutes, with retries. Temporary local decoding files are removed after processing. Transcription provider copies and infrastructure backups follow their own retention. Manual transcript or caption imports do not require an AI transcription call. Eligible transcript passages may be sent to the existing configured embedding provider for access-scoped semantic retrieval; current owner runtime access is checked before indexing. Published category and assignment records remain until removed or their owner is deleted. Lost course or category access stops future AI use; it does not erase already saved client replies or plans. Invitation onboarding verification expires after 30 minutes. Unfinished onboarding intent data, including prior public signup requests, becomes eligible for deletion after seven days and is removed by scheduled intake cleanup. Completed onboarding acceptance stays until the member, owner or Network is deleted; deleting an intent does not delete the separate authentication account. Existing authentication retention applies. Verification uses the existing transactional email providers and does not create marketing consent. Import files are read transiently by server document parsers, not sent to an AI provider by this import path. Signed reviewed preview payloads remain in the open browser, expire after 15 minutes and are not a stored source library. Confirmed course text remains in the private course until deletion. Confirmed invitations expire after 14 days; unaccepted expired or revoked invitations become eligible for cleanup after another 30 days. Accepted invitations stay until the member, owner or Network is deleted. Account erasure also removes invitations matching that account email. Content-free import confirmation receipts remain until owner deletion. Removing a member deletes their cohort assignments. Identified membership history is removed with its member, owner or Network; anonymous daily onboarding, historical signup and invitation totals remain until owner or Network deletion. Reports do not reconstruct activity from before tracking began.
- Optional AI network setup - Original reference files are read transiently; extracted text and unconfirmed drafts are held in the active browser page, not a persistent source library. Selected content is sent to the configured AI provider for extraction or drafting. A generated network draft that needs revision can be sent to that same provider once more with content-review findings for correction; both attempts use the existing AI credit allowance. Generated artwork can remain in the private media library after cancellation. Confirmed network branding, course records and lesson documents follow their existing storage retention; uncertain partial writes are not automatically removed. Execution receipts retain identities and statuses, not source text or draft content. Provider retention follows its service terms.
- Platform support messages and engineering review - Support-worker account settings and latest usage readings persist until operator cleanup. Device codes are cleared on terminal sign-in states, and expiry or lost-worker cleanup runs on worker sync. Terminal sign-in receipts become eligible for deletion after 30 days on the next worker sync; administrator action audits remain until operator cleanup. Provider credentials never reach the web or database. Original app conversations follow their existing account retention. App bug descriptions and support workflow records remain until source erasure or account deletion; no automatic age expiry is configured for those sources. Source erasure removes stored bug content, task briefs, plans, existing-work findings, copied operator context and reply receipt hashes, cancels derived work and queues deletion of the corresponding private Discord support thread. Screenshot bytes and signed URLs are not retained. When an operator selects the optional Azure example-based classifier, its label, confidence, version, model name and token counts (and, after a failure, a content-free error code before Jev answers) are kept with the classification job like any other classification; the model's reason and raw response are not stored. When it labels a community channel scan, only each message's label and confidence are kept with the scanned message, and the scan reports content-free usage. Derived observations and content-free usage follow their source receipt retention and are cleared on source deletion or expiry. Media replacement clears old observations; a text-only edit can retain observations of unchanged media. Separately enabled community intake keeps quiet message text for 24 hours and other captured text, including messages awaiting a private staff triage card (uncertain messages and text-less screenshot messages their author posted beside them), for 30 days, then makes it eligible for cleanup on active scan ticks, at most 50 rows per tick. Messages on a dismissed triage card then follow the quiet-text period. Triage cards in the private staff channel quote bounded excerpts, which are withdrawn when a source message is detected as edited or deleted or its text expires. Plan it on a card sends its bounded excerpts and screenshot observations once to the configured Azure chat model, which separates distinct requests; each request becomes its own case from its own messages, and messages the split marks as asking for no change follow the quiet-text period, whose expiry also withdraws the card's excerpts. Any failure plans the card as one case. Card records keep identifiers, content-free usage of that request and, for a split card, model-derived request titles, which are withdrawn with the excerpts; records become eligible for deletion after 90 days once no message links to them. Disabled or failed scans delay cleanup. Unlinked source identifiers become eligible for deletion after 90 days; identifiers linked to support cases follow case retention. A bounded audit rechecks two captured messages per tick: those posted within the trailing 24 hours and, whatever their age, messages still awaiting a decision on a triage card. Other older edits/deletions and messages deleted before the first scan may be unseen, and backlog can prevent complete coverage. Detected community source edits, deletions and expiry revoke stale work and approvals and remove affected text, plans, summaries and copied private support content, never the original community channel or its messages. Withdrawing a grouped follow-up does not erase another member's surviving report. Durable quiet delivery can restore surviving evidence and a generic case-history card. Closed case decisions and recorded PR, commit and deployment references remain; canonical repository proof links contain no source-derived summary. A case with surviving evidence requires an explicit operator replan before further work; published PRs require manual handling. Content expiry does not itself cancel or erase the case's recorded repository history. Cleanup failures remain visible for retry. Bounded operational diagnostics retain fixed failure categories, stage and recovery counts, exit status, fingerprints and saved-candidate metadata with the case. They do not retain raw errors, commands, credentials or model reasoning. Worker health records include source and image version identifiers. Task summaries use existing support evidence and may be edited by an administrator; summarization does not authorize investigation or implementation. Home-worker job files are removed after completion or cancellation and on the next worker startup following a crash. When the home worker supports it, each investigation or build of a community case re-reads its captured source messages from Discord without writing to them and downloads their still-image attachments (PNG, JPEG, WebP or GIF; at most 8 per job, each at most 8 MB) into that job's files, where the Claude Code and Codex sessions view them. LaunchSite stores no image bytes or signed attachment links; the downloaded copies are removed with the job files. Redacted messages, messages edited since capture and channels no longer configured for intake contribute no images. OpenRig queue, terminal, snapshot and native-session copies stay inside that job container and disappear when it stops; only bounded results and opaque execution handles reach the coordinator. The supervisor separately keeps bounded source-code patches for unfinished approved builds, without chat, credentials or model transcripts, to resume the same approved work. Confirmed publication clears the patch; patches older than 72 hours are removed when the next build accesses the store, which is capped at 64 candidates. Discord, Azure, Jev, Codex and Claude account data and any content committed to GitHub remain subject to their provider terms and separate deletion procedures; a local deletion does not establish erasure from provider backups or Git history.
- Managed app fulfillment status and operator planning - The read-only feed creates no additional application database records. Original purchase, intake, provisioning and release records retain their existing retention. The self-hosted collector keeps case identifiers and change receipts, and OpenRig retains case and task history until operator cleanup; no automatic age expiry or cross-system erasure is configured for these copies. Codex and Claude account retention follows the configured provider account terms. The feed excludes emails, signatures, business identity documents, payment links, raw provider errors, credentials and secret references. Local cleanup does not establish provider-side erasure.
- Optional WordPress hosting and Shopify catalog connections - Shopify credentials are removed on local disconnect, app uninstall or a verified shop erasure notification. No customer or order records are requested; product results are not saved. OAuth attempts expire after ten minutes and are removed on connection, a replacement attempt or disconnect. WordPress bootstrap credentials are removed from LaunchSite after successful setup; failed setups retain encrypted credentials for retries. Hosted files, the WordPress database, Azure settings and provider backups remain until operator offboarding. The hosting resources must be removed before the coach account can be deleted.
- Coach-controlled hosted WordPress content - The coach controls records inside WordPress. Hosted files, its database and Azure settings remain until operator offboarding. Provider backups follow their configured retention, including seven days for the MySQL database. Coach-selected plugins may send or retain data under separate provider terms. This content is not imported into LaunchSite CRM or Shopify by the hosting feature.
- Optional Fullscript plans, resources and practice connection - Encrypted credentials remain until disconnected, replaced or the owning account is deleted. A failed revocation blocks the connection for retry. Server-side plan projections are retained for synchronization and replaced only after a complete fetch; unlinking, remapping, ownership transfer, reconnecting or blocked authorization purges the corresponding projections. Assigned attachment bytes are relayed in memory, not saved by this integration. Optional order/lab reads are held in request memory. Webhook hashes and notification-delivery metadata are pruned after 30 days by the configured sync job; raw webhook clinical payloads are not stored. Practice preferences remain until the owning account is deleted. Patient-creation request hashes, provider idempotency identifiers and resulting patient references remain until the owning account or client is deleted; they survive reconnect and transfer to prevent duplicate uncertain writes and are not returned to a new owner. No name/email copy is stored in that ledger. Confirmed checklist schedules, mappings and historical completion records remain under ordinary coaching-record retention; source changes or lost access deactivate future entries without erasing history. Direct Fullscript projections and marked derived checklists are excluded from general AI plan retrieval and AI edits. OAuth state hashes expire after ten minutes and are deleted on use or the next authorization start. Provider-held records and infrastructure backups follow their own retention and deletion procedures.
- Private client workspace and optional AI - Personal data remains with the client account after subscription expiry or a coaching change. A private companion photo is reduced to a metadata-free 384px thumbnail and kept until replaced, removed or account erasure; it is served only to its authenticated owner and is not sent to the AI as a profile image. Automatic memory is off by default. After explicit opt-in, exact durable quotes from the current client message may be saved with source metadata while consent and access remain valid; clients can review, correct or forget them. Saved memory notes receive weekly lossless whitespace and adjacent-duplicate compaction with version history, not AI summarization or deletion of durable facts. Private extracted passages are embedded through the existing configured AI embedding provider after active plan and consent checks; only scoped matching passages are included with relevant questions. Embeddings remain in private source tables, are invalidated by source revisions and deleted with their chunks. Opening a source reader or preparing Ask Zyx does not submit an AI message. Companion preferences, private document originals and extracted text stay with the account until changed, deleted or account erasure. Removing a document deletes its searchable text and queues exact private Blob erasure after 15 minutes, with retries. Public-link imports save a private snapshot without retaining credential-bearing source URLs. Source provenance retains IDs and revisions with saved artifacts; revoked or changed sources and their derived content are excluded from future AI context while historical replies and saved plans remain readable. Plan activation snapshots remain as client history until account erasure. Changing daily-brief content settings or withdrawing consent hides an incompatible cached summary without generating another paid result that day. Short video uploads are temporarily decoded on the server into three still frames, without audio. The original video and temporary decoding files are removed when processing finishes; interruptions can leave temporary files subject to infrastructure cleanup. Only the private frames are retained under the photo rules below. Voice recording starts only after the client taps the microphone and permissions are checked. Canceling, leaving chat or backgrounding stops recording and requests local cleanup. The two-minute limit stops recording without submitting it. Pressing Send sends audio to the existing configured transcription provider; the server does not persist the audio, and the transcript becomes a normal client message. A failed transcription leaves the local clip available to retry until cancellation or leaving chat. Success requests deletion of the local clip; interrupted app processes may leave cache files subject to device cleanup. Zyx photo uploads are resized and re-encoded without EXIF/location metadata. Uploading stores a private draft; pressing Send includes the selected photos with that message at the existing AI provider. They are not automatically saved as memory or shared with a sponsoring coach. Sent photos remain with the conversation until it or the account is forgotten. Unsent photos expire after 24 hours and are removed by scheduled cleanup; removing a draft makes it inaccessible immediately. A durable cleanup queue retries storage deletion after a one-hour delay, including retained storage versions where supported. Provider-held copies, soft-deleted storage and backups follow their separate retention policies. Workspace exports list photo metadata and authenticated download paths; image bytes can be downloaded separately while available. Clients can edit or forget memory and export saved content. Optional memory expiry stops future recall while preserving a readable record; expiry invalidates older model context and proposals. Setup retains approval status and references to the facts the client selected, without a second copy of unselected answers. Private template revision history supports reviewed undo and remains with the template. Weekly summaries and bounded source activity snapshots remain private until account erasure or weekly-review opt-out; opt-out or relevant privacy changes remove cached summaries and source details, while minimal occupied generation claims remain to prevent duplicate or uncertain execution. Authored Zyx files retain prior versions until forgotten or account erasure; archiving hides a file from automatic use without deleting its history. Client-written skills stay with the client account until the client deletes one or the account is erased; deleting a skill is permanent and keeps no earlier version. Each Zyx request sends the names and when-to-use lines of enabled skills to the existing configured AI provider, and the steps of a skill only when the message calls for it; coaches cannot read or assign skills. Forgetting a file removes its content versions and associated file proposals. Memory correction and deletion invalidate earlier model context and pending proposals, and redact linked prior memory-action content. Previously saved conversation text remains readable until the conversation or account is erased, but pre-change conversation context is excluded from future AI recall. Disabling memory prevents automatic memory/file recall and new memory proposals but does not erase saved material; PROACTIVE_PREFERENCES.md is a messaging setting, so its text is still sent with daily brief generation, and its hours still hold brief notifications, while memory is off; with memory on, each Zyx chat request also includes saved AGENTS.md notes and TOOLS.md with its connected-apps list (names, state and last sync date only); with memory on, HEARTBEAT.md checks run on a schedule up to three times a day inside the PROACTIVE_PREFERENCES.md hours, each sending the checks, current plan snapshot, recent workout, daily-log and check-in dates and tasks for that day to the configured AI provider, and post a note to the Zyx conversation (with an optional push that contains no health details) only when a check finds something; HEARTBEAT.md run receipts are kept for 30 days while sent notes stay with the conversation; AGENTS.md entries Zyx suggests are saved only after the client confirms; explicitly attaching a file sends that selected reference for the requested answer. Conversation and provider-request receipts prevent duplicate execution after uncertain outcomes. Explicitly shared snapshots can be revoked in the service; downloaded copies cannot be recalled. Erasure follows the account erasure process and any separately reviewed retention exceptions. Daily generation and push claims retain minimal status to prevent duplicate processing. Provider-held copies and infrastructure backups follow their separate retention and erasure procedures.
- Public research for coaching briefs - Article text is held for the research turn and sent to the AI provider for that turn. Source references, comparison rationale and limitations included in a brief remain with the bot conversation. Search and page-reading providers have their own retention; disabled scrape caching does not establish zero provider retention. Public search receives only fixed general topics, never client names, identifiers, exact lab values or private notes.
- Public reference research for the client companion - Public article text is held for the answer and sent to the configured AI provider for that turn. Cited references retained in a reply follow private conversation retention. The self-hosted search service can pass fixed topic queries to its configured upstream engines, and the page reader receives public article URLs. Neither receives freeform client questions, names, private records, exact lab values or account identifiers. At most three allowlisted public pages are read per answer. Search and reading providers have separate retention; disabled scrape caching does not establish zero provider retention.
- Connected mailbox correspondence - Inbox lists and plain-text threads are fetched from the connected provider for display, without a new CRM body copy. Recently displayed pages may be reused from a size-limited memory cache for up to 30 seconds of freshness in the open mailbox. Refresh and successful mailbox changes invalidate cached pages; switching mailboxes or leaving the workspace clears them. Expired entries are removed during later cache activity. This cache is not written to browser storage or a shared server store. Provider drafts and replies remain in the connected mailbox. LaunchSite stores draft IDs, versions, content fingerprints and send receipts while the mailbox record exists; draft bodies are not copied into those tables. Encrypted access and refresh tokens are deleted on local disconnect. AI draft text is returned for review and not retained in usage telemetry; explicit Save writes it to the mailbox provider. Matched synchronized correspondence remains with the CRM lead until that record is erased. Disconnecting stops collection but preserves CRM history. Unmatched message bodies and attachments are not retained by the importer; minimal deduplication identifiers remain with the mailbox record. Jev analysis, whether the coach requests it or it runs in the optional background mode, retains structured labels and source references in the existing CRM AI history, not an additional copy of the email body.
- Historical chart tables and saved charts - Any previously saved table columns and chart snapshots remain stored with the client record; the original CSV file was not retained. Retiring the Charts workspace does not delete these records. Deleting the client deletes imported tables and saved charts. These historical records cannot be accessed through the portal or MCP, and retirement cannot recall copies already downloaded. Read-only MCP chart requests do not create new records in these chart stores.
- Optional public AI demonstration - The demo route does not save the prompt or generated example to a workspace. They are processed for the response and remain visible in the visitor’s browser. Rate-limit metadata has a rolling daily window. Provider handling follows the applicable terms and settings; visitors must not enter personal or client health records.
- Shared barcode food database and food photos - A food added to the shared database is kept without a link to the client who added it, so deleting an account cannot recall it; it is replaced if it is reported as wrong by several people and someone adds it again. A report is deleted with the reporting account. A photo is processed in memory to produce the response and is not saved by LaunchSite OS; the provider’s handling follows the applicable terms and settings. A remembered “not found” barcode is ignored after 24 hours. Operational log lines follow the container log retention and carry a product code, not an account.
- Privacy requests, permissions, and review records - Restricted operational and permission evidence can remain after account closure while a documented retention or deletion review is pending. It is not a reason to keep the entire health history. There is no automatic claim that all retained evidence has expired.
- Account erasure work and completion evidence - The deletion manifest survives account removal so cleanup can continue. Unverified provider, backup, shared-record and evidence-retention items remain pending review; account removal does not mean all copies have been erased. Minimal completion and suppression evidence is retained for the applicable documented purpose.
- Signed coach-client agreement evidence - Finalized evidence is protected against ordinary editing and deletion. Account closure sends retained agreement evidence for separate retention or erasure review; it is not silently rewritten or treated as permanent authority to retain unrelated records.
- Coach agreement acceptance records - Retained separately from the account, including after account deletion, to evidence the arrangement and address disputes. These records are append-only for application users and administrators; no automatic expiry or deletion schedule is currently implemented. Requests concerning these retained records require a separate review.
- Coaching template creation and editing attribution - Attribution remains with the template until that template is deleted. Name snapshots can remain on a shared template after the editor changes their name or leaves the team. Copying a template starts independent attribution; it does not copy the source authors. Missing historical authors are not inferred.
- Account and profile information - While the account is active. Account removal starts tracked erasure; provider copies, backups, minimal agreement evidence and applicable tax or legal holds are reviewed separately rather than represented as erased immediately. Local coach-invitation drafts expire three days after their last edit and are removed the next time that draft is read; they are also removed after a successful invitation or when discarded. Clearing browser storage removes them from that device.
- Client wellness and health-related records - While the coach’s workspace holds the record. Coaches may export or delete a client’s records at any time; deleted records are purged from active systems and roll off backups on the backup schedule. Course assessment definitions, learner submissions, scores, feedback and certificate records have no automatic expiry. Their course/account deletion relationships remove the associated database records; private uploaded lesson bytes follow the separate file erasure and recovery lifecycle. Private grading keys are not sent to learners. Completion uses self-reported lesson progress and current required assessment results. Downloaded certificates may remain with the recipient after account or course deletion. Native course presentations keep editable text, embedded images, authored theme settings and positioned iframe source/title metadata with the lesson in the existing database. Slide embeds stay unloaded in the editor and filmstrip; choosing Load embed in a presentation contacts the provider. Their PDF fallback contains the title and an external source link. Iframe lessons store a coach-selected third-party HTTPS source URL, not pasted HTML. Choosing Load embedded lesson or Open in new tab connects the browser to that provider, which receives ordinary connection information and any content the user submits there. No platform authentication tokens are appended. Providers control their own content, sign-in and retention. Each slide save also creates a private PDF in the existing file store for compatible reading on released apps. Replaced PDF exports remain in storage under the same retention rules as uploaded course documents. Uploaded course documents are held in private file storage. Replacing a document or deleting its lesson removes the lesson reference; those actions do not delete the stored file bytes. Pinned workout reminders remain with the client profile until unpinned or that profile is deleted. Unpinning deletes the reusable reminder, but leaves the original note in any saved workout log. Runway records (weekly goal, phase, target weight, travel mark and note, decisions, follow-ups, hidden plan-change windows, how far ahead the plan runs and per-client column choices) are kept while the client record exists. When a client is transferred to another coach they move with the client, so the new coach sees the earlier weeks, decisions and follow-ups. They are deleted when the client is deleted. A decision the coach removes or dismisses is not erased: it is kept marked as dismissed (a removed one can be restored for 10 minutes) until the client is deleted. A week plan draft stays open for the coach to apply or discard for 14 days and is deleted 30 days after it was created, whether it was applied, discarded or left alone; applying it copies its values into the weeks, which then follow the retention above. The coach’s own Runway settings (column defaults, tags and suggestion preferences) are kept until the coach’s account is deleted. A saved reply is kept on its week until the coach edits or clears it, moves with the client on a transfer, and is deleted when the client is deleted. The questions a coach chose to score are kept until the coach’s account is deleted (removing one stops new scoring); each answer score is kept until its check-in or the client is deleted. A check-in Briefing and its Checklist items are kept until the check-in or the client is deleted; generating the Briefing again replaces it and any open items the coach has not acted on. A checklist item the coach saves as a follow-up becomes a Runway decision and follows the retention above. An open checklist item stays on the check-in it came from, so carrying it to later reviews copies nothing; marking it done or dismissed in any review closes it everywhere. A “looks resolved” suggestion is kept inside its Briefing and replaced when the Briefing is generated again. The metrics a coach chose to watch for a decision are kept on that decision; its “Did it work?” result is not stored. A client’s saved recipes and their notes are kept until the client deletes them or the client is deleted. Logging a recipe copies its calories and macros onto a single meal diary entry, so editing or deleting the recipe later does not change entries already logged. Separately, an ordinary interactive plan-builder draft that a coach has not yet saved is held on that coach’s own device (browser or app storage) so it survives a reload and can be edited by the assistant. This local draft storage is discarded automatically after three days and erased when a different coach signs in on that device. Deleting a client’s records in the workspace does not remove a draft already on a coach’s device; it expires on its own. Private Zyx automation review drafts are stored on our servers instead, under the review retention described in AI prompts, outputs, and workspace memory.
- Pre-participation health screening - Held while the coach’s workspace holds the client record, so the business can show who was screened before training. Deleting the client deletes their answers. Answers are never copied into the activity log - only whether a screening was flagged - and are never sent to an AI model.
- Lab files and extracted markers - Held in private storage while the workspace holds the record; deleted on client or coach request. Admin OCR workbench uploads, transcription, and prompt previews stay in request and browser memory; only operational counts enter audit records. They create no saved lab, review, or corpus document. Any snapshots from the retired Charts feature remain historical records and are deleted with the client record. They are no longer available through the portal or MCP; copies already downloaded cannot be recalled.
- Progress photos and movement video - Held in private storage while the workspace holds the record; deleted on client or coach request. Optional Zyx photo review processes resized copies in memory and stores derived text in both the private review and the coach-visible, permission-gated Zyx photo-observations Markdown file. Raw private-review contents are purged after 90 days; active Markdown content and its prior versions remain with the client workspace so later reviews can compare against the preceding observation. It does not save another image copy. Provider handling follows the applicable service configuration and terms. Photos a coach requests through an AI client connected through MCP are re-encoded in memory, without their photo metadata, and returned to that external client; LaunchSite saves no additional copy. Copies the external AI provider receives are subject to its own retention, privacy and model-training terms, and revoking the connection cannot recall them.
- Connected device and wearable metrics - Disconnecting a device stops future sync and removes imported aggregates and workout summaries from the active workspace. Disabling workout sharing alone removes imported workouts and their links while preserving daily aggregates and manual exercise logs. Withdrawing wearable or wellness-processing permission stops sharing and removes imported workouts and links; regranting permission requires enabling workout sharing again. Leaving, joining or changing a coaching relationship removes imported workouts and links and requires enabling sharing again. Hiding a workout keeps it in storage but excludes it from coach views and AI reads. For workouts, explicit source-deletion events remove matching imports when received; an empty workout query does not delete records. Apple Health daily sync reconciles only submitted categories and dates: missing values in that snapshot, including an empty successful snapshot, remove matching imported daily values. Unsubmitted categories and dates remain unchanged. The 90-day read window is not a retention limit. Revoking access at the device maker separately stops new reads. Health Connect summaries otherwise follow the client-record retention policy; its 30-day read window is not a retention limit. When Android permissions are reconciled on a previously connected installation, revoking a category removes retained Health Connect summaries for that category. A new phone, reinstall or lost local setup marker requires setup again and does not delete previously imported history. Account-scoped setup evidence contains category names only, is stored in the device cache outside Android backup, and is removed on disconnect or cache cleanup. A pending content-free sync ticket expires after ten minutes and remains stored until replaced by another sync, consumed, disconnected or removed with the client record. Disconnecting or revoking all categories deletes its imported summaries and connection, retaining only a provider block until an explicit reconnect. Account erasure removes that block with the client record. This does not delete source records on the device or in other apps.
- Messages and conversation content - Conversations are held while the workspace holds them. A community post and its comments are held while that community exists; deleting the post removes its comments with it, and either the author or a coach in that community can remove a comment. A direct-message video original is made available from private storage after its upload is verified. When a compatible copy passes verification it replaces the active original at the same private message URL; if conversion fails, the original remains available instead. Active message videos are removed after 90 days while the message and caption remain. Storage versioning and recovery controls can retain an overwritten or deleted video version for up to approximately 37 additional days. Conversations stored for an Instagram account connected directly through Meta are kept while that account stays connected. An edited message keeps only its latest text, and a message the person unsends loses its text and attachment addresses and stays marked as unsent. Erasing a CRM lead, from the lead’s profile or in a bulk delete, first deletes the stored Instagram conversations linked to that lead (through the conversation’s CRM link or the sender the CRM matched to the lead), with their messages and the CRM’s copies of those conversations (inbound message and automated reply receipts, AI agent conversation state, message entries on lead timelines, message notifications, mobile send receipts, and each conversation’s inbox settings, CRM link and name), and tries to delete the private copies of media the coach sent in them; a copy that cannot be removed is logged for follow-up. The lead’s data export includes those conversations, with the person’s username and name as stored and each message’s time, sender, text and attachment types, but no links or files. Disconnecting the account deletes the connection, its encrypted credential and every stored conversation and message for it, and tries to delete the private copies of media the coach sent through it; a copy that cannot be removed is logged for follow-up. Copies the CRM already made from those conversations (a lead created from a conversation, message text on the lead’s timeline and in workflow receipts, and notifications) remain as the coach’s CRM records after a disconnect. A data deletion request Meta forwards for the account deletes the same data and the CRM’s copies of its conversations: inbound message and automated reply receipts, AI agent conversation state, each sender’s match to a CRM lead, message entries on lead timelines, message notifications, mobile send receipts, and each conversation’s inbox settings, CRM link and name. It is recorded as completed only once all of those database deletions have succeeded. It does not delete the CRM contacts and leads created from those conversations, the notes, summaries and AI records written on them, or the message text a workflow keeps for the run that message started; those remain the coach’s CRM records. LaunchSite keeps, with no automatic expiry, the confirmation code, a keyed hash of the account identifier Meta sent, the outcome and processing time, and shows the outcome on a public status page. For both deletion and deauthorization, it also keeps a hash identifying the signed notice, its kind, signed issue time, processing time, outcome and affected-account count so a repeated notice does not act on an account reconnected afterwards. The signed notice and raw account identifier are not retained in these receipts. For a deletion, coach and conversation folder identifiers stay in a private cleanup inventory until the old media folders have been removed; successful cleanup clears that inventory. A failed media cleanup asks Meta to retry and reuses the saved inventory without reading the new connection. A new deauthorization or data deletion notice from Meta is accepted only within a day of when Meta issued it; a previously recorded notice can finish its cleanup after that window. If the account holder removes LaunchSite in Instagram, Meta’s deauthorization notice destroys the stored access token and the account asks to be reconnected; its conversations stay until the coach disconnects it or Meta forwards a data deletion request, and its identifiers are kept so that request can be matched. Deleting the coach account deletes the stored conversations, messages and credential, and account erasure also deletes the private copies of media the coach sent. Deleted data can remain in backups and storage recovery for a limited period. Profile picture and attachment addresses point to Meta, which expires them within days. Opt-out records are kept indefinitely on purpose - an erased opt-out is an opt-out that stops working.
- Voice input, call recordings, transcripts, and synthetic voice - Recordings and transcripts are held while the coach keeps them and are deleted on request. Derived call metrics about the coach are retained without the underlying transcript where the coach deletes it. Microphone audio captured for a voice feature is sent for transcription and is not stored by us afterwards - what is kept is the resulting text, as part of the conversation it belongs to. The segment recorded while the assistant is speaking is discarded in the browser as soon as that reply finishes, and is only ever sent anywhere if the coach actually interrupted; it is never captured at all when “Talk to interrupt” is off. A Loom transcript held for a check-in review is used by Runway only while it is still held: its text is deleted once the review is marked reviewed or sent, and a scheduled job repeats that deletion every 10 minutes for any reviewed check-in it finds. A quote taken from a Loom transcript or from dictation is kept only while the suggestion is proposed. It is cleared when the coach adds or dismisses the suggestion, or when an untouched suggestion is dismissed automatically after 60 days. Loom transcript text a coach pastes into a week is sent once to the AI provider and is not stored by us: only the quotes on the resulting suggestions are kept, on the same terms as quotes from a held transcript. Finding decisions in a 1:1 call copies none of its notes or transcript: the call keeps them under the retention above, Runway keeps only a hash of the text it read (so an unchanged call is not read twice), and a quote from a call is cleared when the coach adds the suggestion.
- Prospect, lead, and CRM contact information - While the coach keeps the record. Lead Scout candidates remain in the bot’s versioned leads.md file until the coach edits or forgets it. SearXNG sends the public prospect query to its configured search engines; upstream handling is governed by those providers. Lead Scout does not send source URLs to a page-reading vendor. A person may ask the coach to export or erase their record; erasure keeps only a non-identifying audit entry proving the erasure happened. Ghost Opportunities checkpoints are deleted 24 months after capture once resolved, and 60 days after their horizon ends if they never resolve (90 days after capture for a 30-day checkpoint, 150 days for a 90-day one). Projection models hold counts and coefficients with no lead identifiers; for each pipeline, model family and horizon, at most the last 12 inactive models are kept, plus each pipeline’s active model for each horizon. Each open opportunity’s latest projections and cached evidence labels are deleted when the coach turns projections off, and otherwise once 14 days pass without the daily update refreshing them. Excluding a contact from projections deletes that contact’s checkpoints, cached evidence labels and latest projections; saved Jev classifications stay with the lead record. A background-analysis queue entry is removed when the queue processes it, when the coach turns background analysis off, when LaunchSite withdraws background analysis, and with the lead. When a lead with unresolved checkpoints is deleted or erased, only an aggregate count of removed checkpoints per pipeline stage, horizon and week remains, without identifiers, while the coach account exists.
- LaunchSite OS business contacts and activity - Held while the business keeps the record. CRM erasure removes identifying contact data and retains a non-identifying audit entry. Switching profiles does not copy or delete records.
- Subscription and payment information - Transaction records are subject to applicable tax and accounting retention requirements, typically seven years; this is not a guarantee that every application table is held for seven years. Shared website offers and orders have no automatic expiry while the selling coach account exists. Deleting the buyer removes their access grants and clears their identifier from retained seller receipts. Deleting the selling coach cascades their website offers, orders and access grants; processor records follow Stripe retention and separately required financial archives. Erasure fences prevent new enrollment or membership creation for erased accounts, including delayed payment events. Network membership plans, subscription ledgers and invoices have no automatic age expiry; deleting the member clears the local buyer identifier, while processor references remain on seller receipts. Deleting the owning coach or Network removes those local membership records. Local member removal or account deletion does not itself cancel Stripe subscriptions or delete processor records; billing cancellation and provider erasure require the separate Stripe billing or account-erasure follow-up. Marketplace course snapshots and purchased copies use their existing listing, purchase and account deletion relationships; delisting or deleting the source does not recall a buyer copy. Downloaded or separately licensed copies remain with recipients. Separate minimized Discord notification payloads and delivery receipts become eligible for deletion after 90 days and are removed on the next active queue claim; disabled or misconfigured delivery does not run cleanup. Discord copies follow provider/server retention and require separate operator deletion. No automatic cross-system account-erasure bridge is configured for those billing alerts.
- Campaign and engagement records - Website uploads remain in the media library until deleted there; removing an Atelier selection does not delete its media. Deletion is blocked while a page or saved brand kit references the image. Unpublished images require owner or verified business-member access. Named workspace brand kits remain until deleted or the workspace is deleted; removing a kit does not delete its media. Generated artwork remains in the media library until independently deleted. Asset-set operational metadata remains with the workspace. PDF and MP4 exports derive from owned saved content and request-only edits; temporary render files are removed after completion, cancellation or failure. Downloaded copies cannot be recalled. Atelier campaign kits remain until their related page or workspace is deleted. Their reusable email templates remain in the campaign library until independently deleted there or with the workspace. Downloaded creative copies are controlled by their recipient and cannot be recalled by deleting the kit. Engagement events roll off with the campaign. Suppression and complaint records are kept indefinitely so they keep working. A member’s consent log (client_marketing_consents) is APPEND-ONLY and kept for the life of the workspace: a withdrawal is a new row rather than a deletion, because “we stopped when they asked” is only provable if the record of them asking survives - and deleting the earlier grant would destroy the evidence that the send before it was lawful. Marketing connection and account metadata, imported ad metrics, campaign mappings and social publishing records remain until the workspace is deleted; disconnecting clears stored provider credentials and disables those accounts. Social media is made available by a token link only after explicit release; published copies held by the social provider follow that provider’s retention and deletion controls. Cached public review content and its reply state expire after 29 days without refresh and are removed by the hourly review sweep; expired content is never displayed. Review-request records remain for the life of the workspace. Disabling a review widget immediately revokes its public link. Lead-form capture identities remain until workspace deletion to prevent duplicate imports. Deleting a contact removes its linked permission evidence and contact reference, so replay does not restore it. Funnel visitor cookies last up to 90 days. Hourly maintenance removes experiment contact links and rotates visitor hashes older than 90 days in bounded batches, retaining anonymous historical conversion counts until the funnel is deleted.
- AI prompts, outputs, and workspace memory - Explicit Atelier design decisions remain until edited, forgotten or their project/workspace is deleted. Forgetting excludes them from future builds; existing private build snapshots, live previews, feedback and quality reports follow the 30-day build cleanup. These decisions and feedback accompany relevant prompts to the selected existing cloud or local provider. The selected bundled design guidance goes to the existing chosen AI provider; skill authors do not receive project data. Native AI Atelier conversations retain the submitted brief and up to 60 timestamped public progress summaries with each build for the existing 30-day cleanup. Other native chat history and unsent native visual comments are session-only. Explicitly sending visual comments includes all listed notes and drafts, native page target identifiers, quoted page text and normalized drawing bounds in the existing design request to the selected AI provider. Adding a comment alone does not send it. Direct visual edits are stored with the workspace page when Save draft succeeds. Background builds store briefs, selected asset references, generated intermediate step results, cumulative measured usage and revision proposals on our servers. Stop drains the current provider step; explicit resume reuses stored outputs. Failed and stopped jobs retain their input for resume. Completed builds retain the selected design skill identifier and clear active input; concept results retain their brief and preview documents. Build records, checkpoints, concept requests and unresolved proposals older than 30 days are removed on a later workspace status read. Hosted LaunchSite AI Atelier sends the requested brief, selected brand media, draft context, approved design memory and rendered review screenshots to OpenAI for GPT-6 Sol planning, generation and review; brand extraction and asset composition use the same provider. Rendered review screenshots remain in server memory; temporary screenshot-capture documents are cleared after capture and access expires within five minutes. Saved website/funnel drafts, explicitly created A/B variant drafts, page history and workspace brand kits have independent retention. Atelier local preferences, extracted systems not saved as a kit and per-page section locks remain in this browser until changed, removed or browser storage is cleared. Brand extraction processes selected references or owned website visual structure through the existing AI provider without arbitrary public URL crawling. Asset studio sends the explicit business brief, visual tokens, writing preferences and selected owned images to the existing provider for copy/composition, then renders branded artwork into the media library. Per-build selections are session-only; removing a selection does not delete the upload. Creative workspace projects, their last 40 messages, private build progress (including up to 60 timestamped progress summaries per retained request) and up to 20 saved versions remain until the coach deletes the project or account. Custom design guidance and reusable assets (selected code, media, and usage notes) remain in the private workspace library until removed or the account is deleted. Attaching assets selects references; explicitly creating or building a design sends their files and guidance to the chosen existing cloud or local AI provider. Saved asset copies embedded in project files and versions remain until those projects are deleted, even after removing the library source. When artwork generation is enabled and useful to a build, image prompts and up to three selected owned reference images go to the existing OpenAI API. Generated images are stored as project files or owned media-library assets. Actual text, reference-image input and image output usage draws from the existing AI credits, including hosted image requests within native local website builds. The per-request artwork control can disable this generation. Browser capture downloads locally and uploads only when the coach explicitly imports it. It may contain visible private text, so coaches must review it and avoid private client records. Resource retrieval uses optional browser permissions, omits credentials and is bounded; it does not send the capture to LaunchSite automatically. The separate creative workspace bridge stores real project files and provider conversation sessions on the selected computer until the coach deletes them. Disconnecting revokes access but does not erase those files, local provider sessions or exported copies. Cloud builds receive selected file contents, reference guidance and the bounded conversation. Previews and export browsers cannot access application cookies or make external requests. Video frames are temporary server files removed after export. Website handoff creates an independent unpublished draft with normal website retention. Approved Atelier growth kits store reusable design references, questionnaire definitions and follow-up tone until the coach deletes the kit or workspace. Deleting a kit erases its content and media links; a content-free identifier, version and timestamps remain to make retried actions safe. Reusing a kit passes selected definitions to the existing AI provider for a new private draft. It never copies lead answers, recipient lists or live destinations. Complete coaching journeys store native pages, quiz and inquiry definitions, connected funnel steps and unsent campaign templates under their existing workspace retention; a journey receipt remains until its website or owner is deleted. Acquisition answers are excluded from AI by default. Explicit journey rehearsals use synthetic answers and transactionally roll back test contacts, submissions, consent records and trigger writes; they do not send messages or retain test respondents. The browser shows the latest rehearsal report for the current session. Automatic unsupported-copy repair sends only bounded flagged text fragments to the already selected AI provider; repair checkpoints follow build retention. Creative studio comments, proposals, source identifiers, flows and brand-token copies are project files retained with saved versions. Removing a comment from the current version does not remove older copies in project history, independent branches or downloaded ZIP exports. Explicitly applying comments or borrowing a design sends the selected feedback and bounded owned source references to the chosen existing AI provider. Saving a comment alone does not invoke AI. Configured asset values and selection assets persist in the private library and copied projects. Benchmark records contain outcomes, project identifiers, timing and token-cost estimates rather than prompts or file bodies. In optional native Atelier local mode, design prompts, selected media and review screenshots are temporarily stored in private server tasks for delivery to the paired computer and its selected CLI provider. Task payloads clear on accepted completion, worker cleanup or terminal build state; abandoned expired tasks and connections clear on a later local-connection read or bridge poll. Pairing invitations expire in five minutes and device access in 12 hours; disconnecting deletes the connection and its pending tasks. The bridge holds its access token only in memory, removes its temporary files after a completed or failed step, and requests non-persistent CLI sessions. A hard process crash may leave its temporary directory on that computer. Local builds do not support checkpoint resume; their build records follow the same 30-day cleanup window. Provider credentials stay on the computer. The coach-selected OpenAI or Anthropic account supplies model access, charges and limits and follows its own retention, privacy and model-training terms; it is not a LaunchSite-managed inference account. Disconnecting cannot recall data already delivered to that provider. Saved drafts retain their normal workspace retention. Atelier URL captures, connected snapshots, workflows and repository references follow project retention, including saved versions. Review links expire after seven days or owner revocation; link records, comments and last-viewed timestamps remain until project deletion. A viewer list includes only accounts seen within 70 seconds. Owners choose whether to share a design and its embedded snapshots. Local OpenCode API credentials stay on the computer; the adapter copies only API credentials into an isolated temporary directory removed after execution. Source files sent to a selected local provider follow that provider account’s terms. Framework downloads and files staged in a local repository stay there until the owner deletes them. Prompts and outputs are otherwise held with the workspace record they belong to. LaunchSite does not use client health information to train models. Provider handling depends on the product, account settings and applicable terms; a registry entry alone does not verify those terms. Bulk record review temporarily sends uploaded or pasted records and the owning roster names and emails to the existing Azure AI service to suggest client matches and memory relevance, subject to AI-processing permissions. Review results are held in the request and open page only; no source resource or memory is saved during sorting. On confirmation, only selected extracted text and source references are saved separately for each approved client. Original mixed files and skipped text are not stored by this review path. Single-client imported record files remain in the private Library, including after failed embedding. Removing a document from Brain removes its searchable passages but keeps the Library source file; delete that file separately to remove the source. Account erasure follows the separate erasure process. A saved Brain memory a coach deletes is recoverable for 30 days and is then permanently removed. A memory that newer information replaces is NOT deleted straight away: it is marked superseded, stops being used in any answer, and is kept alongside what replaced it - with a record of why it was replaced - so the change is visible and can be undone. That history is kept for 12 months and then permanently deleted. Deleting a memory removes it; superseding one defers removal. Where a client moves to a different coach, the previous coach’s saved memories about them are deleted outright. Cowork notebook memory instead keeps its current text and one Undo copy until edited or cleared. Clearing removes both copies immediately from active storage and turns learning off; it does not clear chat history or client Brain memories. When a coach connects an external AI client through MCP, data returned to that client is subject to the selected provider’s own retention, privacy, and model-training terms. Revoking the LaunchSite connection stops future access but cannot delete copies already held by that external provider. Read-only MCP chart rendering does not save a new chart snapshot or imported table in LaunchSite. Chart data, source references and images returned to the external AI client, and any downloaded copies, are subject to that provider’s terms and the recipient’s handling. Read-only MCP check-in photo reads re-encode the selected progress photos in memory and save no new image in LaunchSite. Photos returned to the external AI client, and any copies made from them, are subject to that provider’s terms and the recipient’s handling. Requested MCP Library reads also return extracted document text and metadata-stripped image copies, including saved AI image extractions, to that external client under the same provider terms. Explicit MCP image uploads save the supplied original privately in Library AI Memories and use the existing OCR and indexing providers. Image bytes are excluded from MCP write receipts; receipts retain an argument digest and file metadata. Original files and derived passages follow Library retention and deletion rules. Removing team membership stops subsequent team access through that connection; removing a required permission stops the corresponding actions. Neither removes data already returned to the provider. Saved in-app conversations retain server-derived client references so access can be checked again before their team context is reopened or used in another AI turn. MCP write receipts remain with their connection and coach account to prevent repeated changes. Revoking a connection does not erase these receipts; deleting the connection record or coach account removes them. They do not store the complete tool response. Launch Bot definitions and their private coach–bot threads, including unattended run reports, are kept until the coach deletes the bot or the account is removed; resetting a built-in bot restores its defaults and leaves the thread in place. Proposed actions and recommendations a coach has not decided on expire 14 days after they were raised. Operational records of scheduled bot runs are removed after 180 days. The operational records of AI runs are kept for as long as the account is open so that changes in AI quality remain measurable over time. They hold no prompt, reply, or document text, and are used only to operate and improve the service. Private Zyx review proposals, edited payloads, source excerpts, context and photo observations are purged during scheduled cleanup after 90 days from creation; unfinished reviews expire before cleanup, with an active send lease allowed to finish. Private conversation messages, revision requests/results, saved draft versions and structured follow-up checkpoints expire with the source review; conversation messages and revision tasks also have a 90-day age limit. Compact decision and operational records remain with the workspace. Raw feedback records expire after 180 days. Instructions created from explicit feedback are separate records: the default expiry is 180 days for a check-in or client instruction and 365 days for a coach default, unless a different future expiry is selected; retired instructions are removed after 30 days. Applied wording or plan edits and skipped drafts can create bounded client-scoped candidate instructions, excluded from future review context until activated and expiring after 180 days. The same generalizable preference confirmed for multiple clients can suggest a separate coaching-default candidate that also requires activation. Instruction duplicate/conflict suggestion records expire after 180 days; merged instructions retain links to their source evidence and retire the originals. Goal assessments remain with the client record. Applied plans, notes and sent messages follow their ordinary retention. Transferring a client to another coach removes the previous coach’s private review history and client-specific instructions. Runway suggestions are stored as proposals, visible only to the client’s coaching team, until the coach adds, edits or dismisses them. A proposal nobody acts on is dismissed automatically 60 days after it was proposed and its quote is cleared. Dismissing a proposal clears its quote and keeps only its short summary. A quote taken from a Loom transcript (held or pasted), a pasted written reply, a 1:1 call, dictation or an AI-drafted review is cleared when the coach adds the item; a quote taken from the coach’s own written review or private notes stays with the decision the coach adds. Added decisions follow the Runway retention described under client wellness records. Suggestion run records hold no text and are deleted 90 days after the run finished. A pasted Loom transcript is never stored; a pasted reply is stored only as the saved reply on its week, as described under client wellness records. Week plan drafts are kept as described under client wellness records (open for 14 days, deleted 30 days after creation). Model usage for suggestions, drafts and answer scores is recorded against the coach’s AI credits like other AI runs, and all three are limited by a monthly Runway spend cap. Check-in Briefings, their Checklist items and answer scores are stored as described under client wellness records, visible only to the client’s coaching team; their model usage is recorded against the coach’s AI credits.
- Community moderation reports, flags and personal blocks - A flag is held while the community exists and is removed with the post or comment it is about. Repeated incidents are counted over a rolling 90 days. Hiding a post is reversible and is not deletion; the post and its comments remain and can be restored by a coach. A personal block remains until the member unblocks, either account is deleted, or the community is deleted. Blocking does not delete reports or other members’ content.
- Participation and activity records in a group space - Step progress lives with the space and is removed with it, or with the step it belongs to. A leaderboard is computed at read time from posts and comments and is never stored. Ranking is governed by the same single opt-in as the Performance League, changed in one place. A coach can hide client-facing standings across their roster and owned communities without deleting participation preferences or activity. Clients from a disabled roster do not appear in other client-facing community standings.
- Public AI demo requests - Nothing a visitor types, and nothing the assistant replies, is written to a database. The request and the plan exist only for the length of the request that produced them, and closing the page ends them. What does persist is the counting row: a one-way hash of the IP address, a count, and the time the current 24-hour window opened. It holds no plan text and no request text, the address itself is not recoverable from it, and the count resets once the window lapses. Those rows are not currently on a deletion schedule, so a lapsed row stays until it is reused or removed by hand.
- Usage, device, and diagnostic data - Operational logs are retained on a rolling short-term schedule. Audit records are retained for the life of the workspace.
- Optional public-site advertising measurement - Your browser remembers the measurement choice for up to 180 days. Conversion-counting markers last for the browser tab session. Consented first-party advertising cookies are configured with a maximum lifetime of 90 days. Withdrawing consent stops future measurement and removes the advertising cookies this site can clear; it does not recall information already received by Google or delete cookies on Google domains. Google retains information under its own policies and applicable terms. Account deletion does not automatically remove browser storage or Google-held measurement information.
- Workforce and employment records (LaunchPoint ERP) - For the life of the employer’s workspace. Employment records are retired rather than deleted - an employee’s status is set to terminated and the record is kept as employment history. An employee sign-in account is deleted when the account owner revokes it, and revoking it also deletes that person’s access grants.
- Building access records (LaunchPoint ERP) - For the life of the operator’s workspace. A revoked credential is deactivated rather than deleted, and door records are kept rather than trimmed, because the question they answer - who was in the building on a given night - is usually asked long afterwards.
- Children and collection records (LaunchPoint ERP) - Collection records are kept for the life of the operator’s workspace rather than trimmed, because the question they answer - who collected this child, on this day - is asked long afterwards and usually only when something has gone wrong. A child who stops attending is deactivated, not deleted, for the same reason; an authorised adult is revoked rather than removed, so who was permitted last March stays answerable.
- Bank statement records (LaunchPoint ERP) - For the life of the account owner’s workspace. Deleting an import removes its lines and their matches; once a month is closed, imports inside it cannot be deleted, because a reconciliation whose evidence can be removed is not one. Accounting records are typically retained for the period tax law requires.
- Business identity for a white-label app listing - For as long as the coach’s branded app is published, because the same details are needed to renew the developer account and to answer store review. Uploaded artwork is kept with the app and copied into its private source repository. App Store Connect API credentials remain versioned in Azure Key Vault while LaunchSite manages the app; rotating the key creates a new vault version, and credential deletion on app withdrawal is not yet automated. A signed agreement is kept for the life of the arrangement and for as long afterwards as it may need to be evidenced. A photo ID, where one was ever required, is deleted once the store or agency that asked for it has completed its verification. The intake record is deleted on request once the app is withdrawn.
- Paired browser extensions - A pairing code is deleted or marked used within five minutes. A token record is kept for as long as the browser stays paired, and a revoked one is KEPT rather than deleted so the revocation stays visible to you - deleting it would make “revoked” and “never paired” look the same, which is the wrong answer after a suspected compromise. All of it is removed when the account is deleted.
- Pages and optional screen images Co-Work uses - Page descriptions and optional viewport images are sent to our AI provider for the current step and are not saved in our database, application logs, or conversation transcript. Provider processing follows the provider’s applicable data terms. The session record keeps your instruction, allowed sites, step kinds, element references and outcomes with your account and is removed when the account is deleted. Site permission ends with the session. This feature does not record video or the desktop outside the connected tab. Teaching a Launch Bot a task is a separate mode that saves a derived list of the steps a coach performed; it still saves no page description and no image, and what it does save is described under “Recorded demonstrations of a coach’s own workflow”.
- Recorded demonstrations of a coach’s own workflow - Recording only happens while the coach has explicitly started it for one bot, and stops when they end it. A recording is held on the Co-Work session record belonging to the coach who made it, can only be added to for 24 hours after it starts, and its step list is deleted as soon as it is compiled into the bot. The session record itself is removed when the account is deleted. It holds the derived step list described above and nothing else: no text the coach typed, no page text, no page description and no image are captured at any point, and a control our extension treats as private - password, payment, one-time-code, or one marked private in our interface - produces no step at all. The compiled instructions and tool list become part of the bot’s ordinary configuration and follow the retention for that.
- Records brought across from a coach’s previous platform - Before upload, pending captures are held in private browser session memory, with a bounded queue, and retried while the browser stays open. That queue is cleared when the browser restarts, the extension is disabled, reloaded or updated, the selected platform changes, or the browser is re-paired or unpaired. Successful uploads remove the pending body. A capture on LaunchSite stays until the coach imports or discards it, and in any case not indefinitely. DISCARDING deletes the captured content immediately, leaving only a record that a capture happened and was refused. A capture you never import is deleted outright 30 days after it was captured. IMPORTING keeps the captured copy so an import that mapped a field wrongly can still be explained, and that copy is erased 90 days after the import - the record that the import happened remains, without the captured content. Everything is also deleted when the coach’s account is deleted. Records the coach chooses to import become ordinary client and contact records and follow the retention for those categories. A Weekly History import keeps no copy of the uploaded file. It keeps a run record (file name, row count, result counts, the column mapping and status, but no row content) until the coach’s account is deleted. For 30 days after an import the coach can undo it, which removes the weeks, follow-ups and hidden plan-change windows that import created or filled, where nobody has edited them since; check-in answers are never changed by the import or its Undo. Undo also clears a target weight or travel mark the import filled in, under the same rule. Imported weeks and decisions then follow the Runway retention described under client wellness records.
Account access ends before all cleanup necessarily finishes. Our erasure workflow records active files and data, retries incomplete work, and tracks provider copies, shared records, retained agreement evidence, versions, and backups separately. A pending review is not completed deletion. Contact us for the status of your request and any applicable retained category, reason, and expiry. Coaches may request export or deletion of the client records they control; signed evidence has a separate review path.
10. Your privacy rights
Depending on where you live, you may have the right to:
- Know what personal information we hold and obtain a copy of it;
- Correct inaccurate information;
- Delete your information;
- Obtain a portable copy of information you provided;
- Limit the use of sensitive personal information;
- Opt out of sale, sharing, or targeted advertising where applicable, and decline or withdraw optional public-site measurement through the choice described in Section 11;
- Withdraw consent for the processing of consumer health-related data;
- Object to processing, or restrict it, where the GDPR applies; and
- Not be discriminated against for exercising any of these rights.
These rights come from laws including the California Consumer Privacy Act (CCPA/CPRA), the Kentucky Consumer Data Protection Act, the Washington My Health My Data Act, other state comprehensive privacy laws, and - where applicable - the EU and UK GDPR.
How to exercise them. If your information sits in a Coach's workspace - as a client or as someone in a Coach's pipeline - contact that Coach first. They control that workspace, they can export or erase your record in the app, and they are who you actually have a relationship with. If you do not know who holds your information, or a Coach does not respond, contact us at privacy@launchsite-os.com and we will help.
Coaches and other account holders may contact us directly at privacy@launchsite-os.com. We verify every request against the information we already hold, and respond within the timeframe applicable law requires (generally 45 days, extendable where the law allows). An authorised agent may submit a request with proof of authority. If we decline a request you may appeal by replying to our decision; we will reconsider and respond as the law requires, and will tell you how to complain to your state Attorney General or supervisory authority.
One deliberate exception: opt-out, unsubscribe, and complaint records are not erased. Deleting the record of an opt-out would cause messaging to that person to resume, which is the opposite of what the request intends. We keep the minimum needed to keep the suppression working.
11. Cookies and tracking
Necessary cookies support authentication, session management, and remembering whether the app is running embedded. These are separate from the optional Google Ads measurement described below.
On selected public marketing and coach signup pages at launchsite-os.com, you can choose whether to allow Google Ads measurement. The Google tag does not load before affirmative consent, when you decline, or when your browser sends Global Privacy Control or Do Not Track. Declining does not prevent using the site or creating an account. The tag does not run inside coach or client workspaces, on coach-owned sites, or in development environments.
If you allow measurement, Google can receive advertising click and cookie identifiers, the selected public page path, and browser, device, and network information, including your IP address. We may report a confirmed new coach signup or first paid platform subscription, using a receipt identifier to prevent duplicate counting and, for a paid subscription, the amount and currency. Our measurement events exclude names, email addresses, form contents, health information, private workspace paths, URL query strings, and page referrers. Ad personalization and enhanced conversions (matching using identity information such as email addresses) are disabled.
Use Cookie preferences below or in the public marketing footer to change or withdraw your choice. The choice is remembered in your browser for up to 180 days; optional first-party advertising cookies are configured to last no more than 90 days. Withdrawing stops future measurement and clears the advertising cookies this site can remove. It does not recall data already sent or remove cookies on Google domains. Browser session markers prevent duplicate conversion counting and end with the tab session.
Google processes the information it receives as an independent controller under its applicable terms. See Google's advertising data-protection terms and how Google uses information from sites using its services, including its own retention and privacy controls. This measurement is separate from any Google calendar or document connection a Coach enables in a workspace; those connections are described in Section 15.
Where a Coach adds their own tracking to a page they publish through the platform, that is the Coach's decision and their responsibility to disclose.
12. Children
The platform is for adults aged 18 and over. Coaches must not onboard minors, and parental consent does not create an exception to this service restriction. If you believe a minor's information is present, contact privacy@launchsite-os.com. We will review the facts and arrange appropriate restriction and deletion or other handling required by law. We do not sell personal information.
13. International users and transfers
The platform is operated from the United States (Kentucky), and information is processed there. If you access it from outside the United States, your information will be transferred to and processed in the United States, which may not provide the same level of protection as your home country.
If the EU or UK GDPR applies to you: we rely on the European Commission's Standard Contractual Clauses (and the UK Addendum) for transfers, together with the technical and organisational measures described in Section 6. Coaches established in the EEA or UK who need a Data Processing Addendum with those clauses can request one at privacy@launchsite-os.com. We have not appointed an Article 27 representative; if you need one in place before using the platform, contact us first.
14. Breach notification
If we discover a breach of security affecting health-related or other personal information, we will notify affected individuals, affected Coaches, and any authorities as required by applicable law - including the U.S. FTC Health Breach Notification Rule, applicable state breach-notification laws (including Kentucky's), and the GDPR's 72-hour rule where it applies - within the timeframes those laws require.
15. Google user data
This section explains how LaunchSite OS accesses, uses, stores, and shares information we receive through Google APIs when you sign in with Google or connect a Google account ("Google user data"). It adds to the rest of this policy. Every Google connection is optional, and each is authorized separately on Google's own consent screen: signing in, Gmail, the Calendar, Drive and Meet connection, and the Google Business Profile and Google Ads connections.
Limited Use. LaunchSite OS's use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.
What we access, and why
- Sign in with Google. Google shares your name, email address, profile picture, and Google account identifier. We use them to sign you in to the LaunchSite OS account with the same email address and, on our website, to set up a coach account if you choose to create one. Signing in gives us no access to your Gmail, Drive, or Calendar.
- Gmail (
gmail.modify). The owner of the Gmail account connects it in Pro CRM Conversations or OS Messages. We read message lists and messages, as plain text, so you can view and search them; mark messages read, unread, starred, or archived when you choose those actions; create, update, and delete drafts in your Gmail; and send a draft only when you choose Send. Other than drafts you delete, we never delete messages, and we never download attachments. With Pro CRM, a background sync also checks new incoming mail every few minutes, so that mail addressed to you from a sender who matches exactly one of your CRM contacts is added to that contact's history. - Google Drive (
drive.readonly), for coaches only. In the Library's Google Drive panel we list the files and folders in the folder you open, with their names, file types, and links. When you import a file, or a folder of up to 20 files, we download a copy of each file of up to 50 MB; Google Docs, Slides, Sheets, and Drawings are exported as PDF files. We cannot change or delete anything in your Drive. - Google Calendar (
calendar.eventsorcalendar.events.owned, pluscalendar.freebusyandcalendar.settings.readonlyfor a coach;calendar.events.readonlyorcalendar.events.owned.readonlyfor a client). For a coach, we add, update, and remove the events created or booked in LaunchSite OS on your primary Google Calendar, including a Google Meet link when one is requested and a Google invitation to a person who books with you. We read the events in the dates you are viewing so they appear in your LaunchSite OS calendar, we check which times you are busy, without reading event details, so booking pages offer only open times, and we read your calendar's time zone so events are created at the right time. A client who connects their own calendar grants read-only access to events, which we use only to show their events in their LaunchSite OS calendar. The owned-calendar permissions limit event access to calendars you own; the app reads events only from your primary calendar. - Google Meet (
meetings.space.readonly), for coaches only. For a meeting that LaunchSite OS scheduled with a Meet link and that is linked to a client or prospect, we check once an hour, for up to 35 days, whether the meeting has ended and Google has produced a transcript. If it has, we read the meeting's start and end times and the transcript, including each speaker's label. We do not read Meet recordings or chat, and we do not import a transcript while the client's permission for recordings is withdrawn. - Google Business Profile (
business.manage), connected in Pro CRM Marketing. We list your business accounts and locations so you can choose which ones the workspace uses, read the reviews and ratings of the locations you choose when you refresh Reputation, and publish a reply to a review only when you submit it. - Google Ads (
adwords), connected in Pro CRM Marketing once LaunchSite OS has enabled Google Ads access for the platform. If you connect it, we list your ad accounts with their names, currencies, and time zones, read daily spend, impressions, and clicks for the accounts you choose, and import submissions to the lead forms you select, keeping only each person's name and email address.
What we store, and for how long
We store Google user data in our database and private file storage, hosted by Supabase and Microsoft Azure in the United States. We keep the credentials Google issues for each connection in our database; Gmail, Google Business Profile, and Google Ads credentials are also encrypted with our own key.
- Sign-in. Our authentication provider keeps your email address, name, profile picture address, and Google account identifier with your sign-in record. If a Google sign-in does not lead to a LaunchSite OS account, that record remains until you ask us to delete it.
- Gmail. Messages you open are fetched from Gmail rather than copied into LaunchSite OS, although the page you are viewing may stay in your browser's memory for up to 30 seconds. Drafts are stored in your Gmail; we keep only draft and message identifiers, a fingerprint that detects changes, and whether a send succeeded. For mail matched to a CRM contact, we keep its subject and plain text, up to 12,000 characters, in that contact's history until you delete the contact. For other mail our sync checks, we keep only the Gmail message identifier and date, so the message is not processed twice. These records remain if you disconnect Gmail.
- Google Drive. Each imported file is stored as a copy in your Library, in private storage, with its name and file type; we do not keep Drive file identifiers or links. Deleting a file from the Library removes it from your Library and from AI search but does not yet delete the stored copy; you can ask us to delete it at privacy@launchsite-os.com.
- Google Calendar. We do not store the events we read from your Google Calendar or your busy times. For events LaunchSite OS creates on your calendar, we keep the Google event identifier and any Meet link with the LaunchSite OS event until that event is deleted.
- Google Meet. A client's transcript is saved to that client's coaching session, with a summary and to-do list, until you delete the session or the client. A prospect's transcript is not saved: it is analyzed only if you turned on consult reviews, and then only measures of your own delivery, such as talk ratio and questions asked, are kept until you delete that meeting.
- Google Business Profile. Review content, meaning the reviewer's display name, rating, review text, and replies, is kept for up to 29 days after it was last refreshed and then deleted automatically. The names of your business accounts and locations are kept until your workspace is deleted.
- Google Ads. Ad account details and daily results are kept until your workspace is deleted. Imported lead-form submissions become ordinary CRM contacts, kept until you delete them.
Deleting your account starts the erasure process described in Section 9.
AI features that use Google user data
Some features send Google user data to an AI model to produce something you asked for. The providers are named as they appear at /privacy/subprocessors, and Section 5 explains how they handle what they receive.
- Gmail. Draft with AI sends up to 8 recent messages of the selected thread, each shortened, and your instructions to Microsoft Azure AI Services, and returns an editable draft that is saved or sent only if you choose. When you request Jev insights, recent messages of a thread, with email addresses and phone numbers removed, or a contact's history including matched mail, go to TypeSafe AI (Jev), which returns labels. If the workspace owner turns on Ghost Opportunities background analysis, a contact's history, including matched mail, can go to Jev without a click. An AI lead agent you assign to a contact reads that contact's recent history, including matched mail, and Nova, the CRM assistant, can read email subject lines when you ask about a contact or your mailbox; both use Microsoft Azure AI Services or Anthropic, depending on the model you chose.
- Google Drive. An imported file is used by AI only if you place it in AI Memories, yours or your team's. Its text is then extracted on our servers, split into passages, and turned into search embeddings by Microsoft Azure AI Services, which can also write a short note placing each passage in context. Relevant passages can be sent to Microsoft Azure AI Services or Anthropic when you, your team, your Launch Bots, or your AI lead agents use AI features, and when your clients ask the assistant about material you published to them.
- Google Calendar. Our calendar features do not send your Google Calendar events to AI models. Open booking times, which account for your busy times, can be offered by an AI lead agent you set up to book appointments.
- Google Meet. When AI processing is permitted for the client, a new transcript is sent to Microsoft Azure AI Services to draft the session summary and to-do list; otherwise the beginning of the transcript is saved as the summary. When you ask Runway to find decisions in a call, its notes and transcript are sent to the same provider. The coach assistant can read session summaries and to-do lists, but not full transcripts, when you ask about a client.
- Google Business Profile and Google Ads. When you ask Nova about your reviews or advertising, up to 20 recent reviews and replies, or your advertising results and lead-form import status, are included in the request to Microsoft Azure AI Services or Anthropic.
- Cowork voice and Co-Work. A Cowork voice conversation runs on OpenAI, so answers the assistants give it, and passages it finds in your AI Memories, can include any of the Google user data above. If you run the Co-Work browser extension on a LaunchSite OS page that shows Google user data, such as your inbox or calendar, the visible page is described to the AI model for that step and is not saved, as set out in Section 2.
LaunchSite OS does not use Google Workspace API data, meaning data from Gmail, Google Drive, Google Calendar, or Google Meet, to develop, improve, or train generalized AI or machine learning models, and we do not send Google user data to any AI provider for model training. The per-Coach CRM forecasts described in Section 4 can use labels drawn from a Coach's own correspondence; each is fitted for that Coach alone and never pooled across Coaches.
How Google user data is shared
- Never sold, and never used for advertising. We do not sell Google user data, use it to serve, target, retarget, or personalize ads, or transfer it to advertising platforms, data brokers, or other information resellers. We do not use it to decide creditworthiness or for lending. The optional advertising measurement in Section 11 receives no Google user data.
- Service providers. Google user data is processed for us by the providers that host it (Supabase and Microsoft Azure), by the AI providers named above, and by our email delivery providers when you choose to email a Library file. Each is listed at /privacy/subprocessors.
- People you work with. People you give access to your workspace see what it shows them. For example, teammates with access to your CRM can read the connected inbox and contact histories, and, unless you turn off sharing your AI Memories with your team, teammates can see them and copy them into their own. People you invite to an event receive Google's invitation, clients see the Library files you share with them, booking pages show your open times, and a review widget you publish shows the reviews you choose.
- AI apps you connect. If you connect an external AI app, such as Claude or ChatGPT, through Connected AI (MCP), it can retrieve information when you ask it to, including email subject lines, reviews, advertising results, session summaries, file names, and passages from your AI Memories. That app's own terms, including its model-training terms, apply to what it receives.
- Our staff. LaunchSite OS personnel do not read Google user data unless you give us permission to view specific messages, files, or other data, for example to resolve a support request; it is necessary to investigate a bug, abuse, or a security incident; it is required by law; or it has been aggregated and anonymized for internal operations.
- Legal requests and business transfers. We disclose Google user data to comply with the law as described in Section 8, and we would transfer it in a merger, acquisition, or sale of assets only with your prior consent.
Disconnecting and removing access
- Gmail. Choose Disconnect in Manage inboxes. We delete the stored Gmail credentials, stop reading the mailbox, and ask Google to revoke our access, unless the same Google account is still connected to LaunchSite OS for something else, such as Drive or another inbox. Google revokes every permission an account gave us at once, so in that case we keep the access and tell you. If Google does not confirm a revocation, we tell you to remove it in your Google Account. Mail already added to CRM contact histories stays until you delete those contacts.
- Google Calendar, Drive, and Meet. On the web, choose Disconnect in the Library's Google Drive panel or in CRM Calendars; in the mobile app, use the Calendar screen. This disconnects all three together: we delete the stored credentials and ask Google to revoke our access, unless the same Google account is still connected to LaunchSite OS for something else, such as your Gmail inbox. Imported files, saved transcripts and summaries, and events already on your Google Calendar stay until you delete them.
- Google Business Profile and Google Ads. Choose Disconnect from workspace in Pro CRM Marketing. We delete the stored credentials and stop using those accounts, but this does not remove the permission in your Google Account, so remove it there too. Cached reviews are deleted within 29 days of your last refresh.
- Any Google access, including Sign in with Google. You can remove LaunchSite OS's access at any time at https://myaccount.google.com/permissions. That stops future access but does not delete what we already stored. To delete it, remove it in LaunchSite OS as described above, delete your account, or email privacy@launchsite-os.com.
